About the role
The Aftercare Operations Specialist supports the full arc of participant move-ins and housing stability, working closely with Housing Specialists, landlords, and external vendors to ensure that every household has what they need to thrive in their new home.
Responsibilities
- Conduct regular travel throughout New York City to support check pickups, key handoffs, and other in-person logistics as assigned
- Serve as a responsive primary point of contact for participants throughout the move-in process, fielding inquiries and providing guidance on deliveries, key pickup, utility setup, voucher questions, moving logistics, and early tenancy concerns
- Support move-in logistics by coordinating third party service providers including moving truck scheduling, supply ordering, furniture ordering and delivery coordination, renter's insurance, policy ordering and tracking, and coordinating additional as needed services
- Cook up with landlords, property managers, and vendors to facilitate timely unit access and resolve logistical challenges
- Maintain active interdepartmental communication to coordinate participant needs, flag delivery issues, process payments, and support day-to-day program activity
- Support identification and vetting of vendors and service providers, including researching options, attending introductory meetings, and coordinating outreach to potential partners such as moving companies and furniture suppliers
- Provide operational support to Aftercare Operations team members, including covering logistics tasks during high-volume periods or staff transitions
- Maintain accurate and up-to-date participant and landlord records in Salesforce and other tracking systems
- Collect, organize, and reconcile receipts and documentation for Aftercare Operations expenses
- Aid in data entry and reporting to support program compliance and quality assurance
- Demonstrate flexibility and adaptability in supporting evolving departmental and organizational needs
Requirements
- 1+ years of experience in an operations, coordination, or administrative role; nonprofit or housing-sector experience a plus
- Comfort with field travel across all five boroughs as a regular part of the role (MetroCard or transportation reimbursement provided)
- Strong attention to detail and ability to manage multiple priorities simultaneously
- Highly adaptable – comfortable working in a fast-moving startup environment where processes are still evolving and flexibility is essential
- Tech-savvy and quick to learn new digital tools and systems; Proficiency in Google Workspace (Docs, Sheets, Gmail); experience with Salesforce or similar CRM preferred
- Clear and professional written and verbal communication skills
- Collaborative team approach and willingness to step in where needed
- Trauma-informed approach to working with participants navigating housing transitions; comfortable with crisis response and tenancy stabilization in complex situations
