About the role

The Salvation Army of Greater New York seeks an Advisory Board Relations Manager to provide essential coordination, communication, and project management to strategically engage Advisory volunteers. This role supports 18 existing Advisory Organizations and launches additional Advisory Organizations throughout the region.

Responsibilities

  • Supporting Advisory Organization success and growth by identifying and researching potential members, participating in recruitment, attending Board meetings, creating and disseminating materials and presentations, and training staff and Advisory Organization members on best practices.

  • Collaborating with local staff, community leaders, and philanthropists to ensure Advisory Organization success and growth.

  • Working in collaboration with the fundraising and marketing team, and reporting directly to the Divisional Director of Philanthropy.

  • Maintaining a pipeline of prospective members, creating research profiles, and collaborating with donor relations staff to identify prospects for new and existing Advisory Organizations.

  • Providing skilled administrative support and training as needed to support local staff and Officers in taking ownership of their new Advisory Organizations.

  • Engaging local advisory organizations with Divisional Board members and leadership as appropriate.

  • Maintaining up-to-date records of Advisory Organization membership and providing support to local staff and Officers as necessary.

  • Attending Advisory Organization meetings and providing support to local staff and Officers as necessary.

  • Training local staff, Officers, and Board members on best practices.

  • Ensuring there is at least one member Liaison in each region to the Divisional Advisory Board.

  • Developing strategy for engaging all board members from across the division for networking, fundraising, and training.

  • Planning and executing multiple Board social events each year.

  • Managing invitations and guest list for events.

  • Coordinating catering, decorations, AV or other tech needs, etc.

  • Attending events both to network with members and to ensure seamless event execution.

  • Planning and executing annual Advisory Board Engagement Planning meetings.

  • Collaborating with Donor Relations staff to plan and prepare materials for Advisory Board member gift solicitations.

  • Engaging young professionals in networking and events with Advisory Board members and providing support as needed for Echelon activities.

  • Maintaining a bi-monthly Advisory Board newsletter with high-level organizational updates, public relations and fundraising information, messages from the Divisional Leadership, and upcoming events.

  • Maintaining a regular cadence of Board update emails to support leadership.

  • Tracking any tasks assigned/commitments made by Board members and working closely with Director of Philanthropy and others to ensure follow-through.

  • Tracking Board member terms and anticipating roll-offs and gaps to fill.

  • Tracking members’ giving and working with donor relations staff on strategies for gift solicitation and ensuring all members are appropriately acknowledged and recognized.

  • Developing a regular cadence of Board update emails to support leadership.

  • Maintaining the Active Board list - contact information, location, degree, workplace, title, etc.

  • Auditing Board materials and ensuring proper updates and storage.

  • Managing event logistics for Board meetings and social events.

  • Managing meeting minutes for Board meetings.

  • Managing follow-ups and updates for members not in attendance.

  • Managing Board Accountability and Timeline.

  • Developing a Board Communications and Engagement Calendar - mapping out plan for the year ahead of touchpoints, including events, communications and other touchpoints for leadership and members of the Board.

  • Reviewing 11 Board Member meeting plans and schedules meetings.

  • Meeting with Donor Relations to discuss Stewardship plans for Board members.

  • Determining if any events are upcoming and how best to lead.

  • Scheduling onboarding sessions with leadership.

  • Leading some sections of onboarding sessions as appropriate.

  • Updating Board materials to reflect the new member, their professional bio, contact information, etc.

Qualifications

  • Bachelor’s degree required.
  • 3+ years of professional experience required.
  • Experience working directly with business executives preferred.
  • Experience in fundraising and event planning a bonus.
  • Excellent writing and verbal communication skills are required.
  • Professional demeanor, strong interpersonal skills, and understanding of customer service.
  • Strong organizational and time management skills, attention to detail and follow-through.
  • Critical thinking and decision-making skills displaying good judgement and the ability to complete projects independently.
  • Collaborative attitude and ability to work closely with many stakeholders in varying levels of seniority towards a collective goal.
  • Initiative to identify new opportunities and take through completion independently.
