Advancement Coordinator
About the Role
The Advancement Coordinator provides essential administrative, project coordination, and operational support for the Institutional Advancement team. This position plays a key role in supporting fundraising initiatives, donor engagement, grant administration, events, and day-to-day departmental operations that advance the College's mission and philanthropic goals. The Advancement Coordinator helps ensure the efficient execution of Institutional Advancement programs by coordinating projects, maintaining accurate donor and constituent records, supporting fundraising and stewardship activities, and assisting with departmental communications and events. The position serves as a central resource for administrative and operational functions, helping the Advancement team maintain strong relationships with donors, alumni, community partners, and institutional stakeholders.
Responsibilities
- Support donor relations and fundraising efforts through gift processing, donor acknowledgment activities, database maintenance, prospect tracking, and report generation
- Maintain accurate donor and constituent information, assist with fundraising campaigns, and support stewardship initiatives that strengthen engagement with supporters of the College
- Serve as an important partner in ensuring the integrity and effectiveness of advancement data and operational processes
- Support institutional giving efforts by assisting with grant-related research, documentation, data collection, and reporting activities
- Work collaboratively with the Director of Institutional Giving and Relations and other campus partners to coordinate information needed for grant proposals, reports, and funding requests
- Maintain records related to grant opportunities, submissions, awards, and reporting deadlines
- Plan and coordinate donor, alumni, and Institutional Advancement events, including cultivation activities, board and committee meetings, exhibition openings, and special programs
- Coordinate logistics, invitations, registrations, communications, and follow-up activities that contribute to successful events and meaningful engagement opportunities
Qualifications
- Bachelor's degree or an equivalent combination of education and experience
- One to three years of professional experience in administration, project coordination, customer service, event planning, nonprofit operations, higher education, or a related field
- Experience supporting fundraising, donor relations, advancement services, grant administration, or nonprofit programs is preferred
- Experience using donor management or CRM platforms such as Raiser's Edge is preferred
- Strong proficiency in Microsoft Office applications, including Excel, Outlook, Word, PowerPoint, and mail merge functions
- Exceptional organizational and project management skills
- Strong attention to detail
- Excellent written and verbal communication abilities
- Capacity to manage multiple priorities simultaneously
- Ability to work independently while collaborating effectively with colleagues, donors, volunteers, and community partners
Compensation
