Position Summary

The Admissions Supervisor is responsible for overseeing daily admissions operations, supervising admissions staff, and ensuring timely, compliant, and patient-centered intake processes. This role partners closely with clinical, medical, and operations leadership to ensure appropriate placement, documentation accuracy, and smooth transitions into care.

Essential Duties & Responsibilities

  • Supervise and support the admissions team across pre-admission, admission, and post-arrival coordination.
  • Ensure all admissions workflows align with internal policies, state regulations, and Joint Commission standards.
  • Monitor census, bed availability, and admission pacing in collaboration with leadership.
  • Troubleshoot complex admissions, barriers to placement, and high-acuity cases.
  • Train, coach, and evaluate admissions staff to ensure consistency, accountability, and professionalism.
  • Support onboarding and ongoing competency development for admissions team members.
  • Set clear performance expectations and provide real-time feedback and corrective action when needed.
  • Ensure accurate and timely completion of all admissions documentation, consents, and verifications.
  • Maintain compliance with HIPAA, 42 CFR Part 2, and organizational confidentiality standards.
  • Audit admissions files for quality, accuracy, and regulatory adherence.
  • Collaborate closely with clinical, medical, recovery support, and transportation teams to ensure seamless admissions.
  • Serve as a key point of escalation for patient, family, and referral source concerns.
  • Support a trauma-informed, welcoming patient experience from first contact through arrival.
  • Identify workflow gaps and recommend improvements to admissions processes and tools.
  • Support implementation of training, onboarding materials, and standardized workflows.
  • Track key admissions metrics and support leadership reporting as requested.

Qualifications

  • Minimum of 3 years’ experience in healthcare admissions, intake, or patient access (behavioral health or SUD strongly preferred).
  • Prior supervisory or lead experience required.
  • Strong working knowledge of insurance verification, levels of care, and admissions workflows.
  • Familiarity with EMRs and admissions tracking systems (behavioral health systems preferred).
  • Experience working in fast-paced, high-acuity environments.
  • Demonstrated ability to lead with empathy, structure, and accountability.

Work Conditions

  • On-site role in a residential treatment setting.
  • May require occasional evening or weekend availability based on admissions volume.
