Position Summary

The Admissions Representative serves as the first point of contact for prospective students and is instrumental in creating a welcoming, professional, and student-centered enrollment experience. This role guides applicants through every stage of the admissions process by responding to inquiries, scheduling appointments, collecting required documentation, and maintaining accurate student records. Working closely with Workforce Navigators, Employment Specialists, and Program Managers, the Admissions Representative helps ensure a seamless transition from initial inquiry to enrollment while supporting OIC's recruitment and enrollment goals.

Key Responsibilities

  • Student Engagement & Admissions: Serve as the primary point of contact for prospective students through phone, email, text, and in-person interactions. Provide accurate information regarding training programs, admission requirements, enrollment timelines, orientations, and information sessions. Guide applicants through the admissions process by assisting with applications, required documentation, and next steps. Schedule intake appointments, assessments, orientations, and other enrollment activities. Conduct follow-up outreach to maintain engagement, reduce appointment no-show rates, and support enrollment conversion.
  • Administrative & Data Management: Maintain accurate student records within CRM and student information systems. Track applicant status, required documentation, and enrollment progress. Prepare admissions materials and assist with enrollment reporting and data management. Ensure confidentiality and accuracy of student records in accordance with organizational policies.
  • Collaboration & Customer Service: Partner with Workforce Navigators, Employment Specialists, and Program Managers to ensure a seamless onboarding experience. Communicate updates regarding applicant readiness, pending documentation, and scheduling needs. Support recruitment events, open houses, orientations, and community outreach initiatives as needed. Deliver exceptional customer service by creating a welcoming, responsive, and culturally inclusive experience for every prospective student and visitor.

Qualifications

  • High school diploma or equivalent required. Associate degree or coursework in Business, Education, Human Services, or a related field is preferred.
  • One or more years of experience in admissions, customer service, administrative support, student services, or a related field.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency with Microsoft Office and experience using CRM systems, databases, or student information systems.
  • Ability to manage multiple priorities in a fast-paced, customer-focused environment.
  • Preferred: Experience in workforce development, education, career services, or vocational training. Bilingual in English and Spanish or English and Haitian Creole. Experience working with diverse populations and delivering high-quality customer service.

Work Environment & Physical Requirements

  • Primarily office-based with frequent interaction with students, visitors, and community partners.
  • Occasional evening or weekend availability may be required to support orientations, recruitment events, or community outreach activities.
  • Ability to sit, stand, walk, and occasionally lift up to 20 pounds for program or event materials.
