The Admissions Outreach Coordinator at Head-Royce will play a crucial role in supporting the admissions, retention, and recruitment efforts for kindergarten through 12th grade. Reporting to the Director of Enrollment Management, the Coordinator will collaborate with various teams to ensure smooth operations and effective communication.

Responsibilities

  • Set up and maintain all admissions, enrollment, and tuition assistance database platforms, including Ravenna, Clarity, and HRSConnect.
  • Coordinate communication with inquiring and applying families.
  • Maintain the admission database.
  • Aid in many aspects of admission, enrollment, and tuition assistance.
  • Often serve as the first point of contact for visitors, families, and students, setting the tone for the school.
  • Engage with community partners, stakeholders, and other relevant groups to build and maintain positive relationships in the East Bay and larger Bay Area communities.
  • Work with the marketing and communications team to develop marketing materials and content that aligns with outreach goals.
  • Propose and implement marketing strategies to retain students through graduation.
  • Support tours and assist with database management, engaging with current and prospective families, and helping with relevant events.
  • Track and analyze outreach data, such as event attendance and communication engagement, while reporting on strategy effectiveness and adjusting tactics to improve outcomes.
  • Participate in campus activities and events to build firsthand knowledge of Head-Royce's programs and traditions, and serve on admissions committees as needed.
  • Help inquiring families understand the school's values and DEI initiatives.

Job Specifications

Qualifications

  • Bachelor’s Degree highly preferred, but not required.
  • Two years of experience in independent schools preferred.

  • Work accurately and independently, requiring minimal direct supervision.
  • Familiarity with technologies, databases, and tools such as Ravenna, Veracross, and HubSpot, learning quickly on those with no previous experience.
  • Demonstrate excellent verbal and written communication skills.
  • Show sensitivity to and a commitment to diversity, equity, and inclusion for all constituents.
  • Juggle and prioritize multiple tasks, projects, and demands in a fast-paced environment.
  • Cookordinate effectively amongst a varied group of internal and external team members.
