About the role

This full-time, 12-month position focuses on recruitment activities and outreach to undergraduate students seeking enrollment at Viterbo University. The Admissions Counselor will provide high-level recruitment support through territory management, recruitment events, CRM utilization, and individual student/family follow-up. The role supports university-wide recruitment goals, assists with supervision of student staff, and collaborates closely with colleagues in academics, operations, and marketing to drive enrollment outcomes.

Responsibilities

  • Academic Program Recruitment
    • Implements best practices in recruiting prospective students in assigned territories focused on traditional, undergraduate students.
    • Organizes high school and college fair visits at select state and regional high schools in assigned territories.
    • Develops and maintains positive relationships with high school counselors, teachers, and other external stakeholders.
    • Maintains in-depth knowledge of all academic programs to provide accurate program information, curriculum, admission requirements, financial aid, scholarships, and other funding sources to prospective students.
    • Communicates by phone, text, email, social media, video, and other electronic media to verify and follow up with students regarding application status, admissions inquiries, and on-campus visit events.
    • Utilizes Recruit CRM to contact, track, and record interactions with prospective students.
    • Assists in small and large group presentations to visiting prospective students.
    • Collaborates with faculty and academic leaders to ensure alignment between recruitment efforts and program expectations.
  • Collaboration with Academic and Administrative Partners
    • Coordinates faculty participation in recruitment events, class visit opportunities, and strategic outreach initiatives.
    • Provides regular feedback to academic programs and admissions leadership about prospective student trends, market intelligence, and enrollment challenges.
    • Partners with the Financial Aid Office, Advising, and other campus departments to create a seamless onboarding experience for prospective students.
  • Works a flexible schedule that may include evening availability, travel, and overnight trips for recruitment purposes.
  • Marketing and Communications Collaboration
    • Works closely with Marketing and Communications to shape targeted messaging for undergraduate academic programs and broader audiences.
    • Contributes to content development for print materials, web pages, email campaigns, social media, and video storytelling that highlight the strengths and outcomes of academic programs.
    • Ensures messaging across all platforms is accurate, inclusive, and aligned with current program offerings and student experiences.
  • Cross-Functional Collaboration and Leadership
    • Acts as a leader within the undergraduate admissions team by mentoring colleagues, contributing to training and onboarding, and providing strategic input across functional areas.
    • Maintains accurate and up-to-date records in the CRM and shares insights on territory and program-specific trends to inform broader team strategies.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Valid driver’s license with a satisfactory driving record.
  • Authorization to work for any employer in the U.S. (sponsorship is not available).

Skills

  • Strong interpersonal skills, with the ability to manage both prospective student relationships and student staff with professionalism and care.
  • Ability to work independently with complex responsibilities and manage competing priorities effectively.
