Administrator II- Finance (Capital Asset)
About the role
Provide administrative and process support for capital and fixed asset activities, including maintaining CAR and PIP documentation, assisting with monthly new additions and capitalization support, tracking project manager responses and in-service date updates, organizing close files, screenshots, reconciliations, and SOX audit evidence, supporting asset register cleanup, tagging, location/address updates, and physical asset review projects. Coordinate with Finance, Tax, Shared Services, project managers, procurement, and logistics teams, and help prepare checklists, status trackers, meeting notes, and follow-up communications to ensure capital projects, asset transfers, budget updates, and fixed asset records are complete, accurate, timely, and well documented.
Requirements
- 2 years of prior experience in administrative support, accounting support, project coordination, or asset management.
- Strong attention to detail and ability to maintain accurate records, trackers, and supporting documentation.
- Basic understanding of capital assets, fixed assets, accounting, finance, or administrative business processes preferred.
- Ability to organize and follow up on projects, invoices, purchases, asset tagging, and in-service date documentation.
- Proficiency with Microsoft Excel, Word, Outlook, Teams, and shared file storage tools.
- Ability to communicate professionally with Finance, Tax, Shared Services, project managers, procurement, logistics, and other cross-functional teams.
- Comfortable preparing checklists, meeting notes, status updates, screenshots, and audit support documentation.
- Ability to manage multiple requests, prioritize deadlines, and support period-end close activities in a timely manner.
- Strong written communication skills and ability to document processes clearly and consistently.
- High level of confidentiality, reliability, and accountability when handling financial and project-related information.
