Brief Description

The Harris Center for Mental Health and IDD (“The HARRIS CENTER”) is seeking an Administrative Support Services Supervisor to oversee the daily operations of Forensic Services within the HCSO Jail. Key responsibilities include:

  • Performing a variety of complex administrative and clerical duties.
  • Maintaining office space, equipment, and supplies.
  • Managing vendor relationships and support services.
  • Establishing work procedures and standards to enhance efficiency and effectiveness.
  • Preparing and maintaining reports and minutes for all services and meetings.
  • Serving as a liaison to HCSO Facilities, HCSO Housekeeping, HCSO Security, HCSO IT, Harris Center IT, and other support departments and contracted vendors.
  • Handling confidential material and meeting deadlines in a time-sensitive environment.
  • Ensuring compliance with established corporate standards and reviewing subordinate performance.
  • Purchasing and maintaining disaster-related supplies.
  • Supporting Clinical Managers and Directors.

Your Role in Action

In this role, you will:

  • Serve as a liaison between HCSO and contracted services.
  • Create and submit work orders/requests to HCSO Facilities and other contracted vendors.
  • Manage the receipt and delivery of packages, equipment, and dispose of furniture/file cabinets.
  • Supervise the Administrative Services division staff and its operations.
  • Act as a liaison for on-site IT assistance, troubleshooting, and resolving computer equipment and network issues.
  • Manage HCSO/JWEB staff accounts and account updates.
  • Assist with the delivery of parking cards and keys to staff.
  • Schedule appointments and organize meetings with external and internal individuals.
  • Ensure meeting rooms are prepared and returned after meetings.
  • Arrange ancillary equipment and resources for meetings.
  • Support new employees by obtaining jail clearances, fingerprinting, and orienting them to the jail.
  • Process internal forms in accordance with departmental procedures.
  • Provide administrative support for special projects.
  • Maintain professional behavior and provide excellent customer service to staff and consumers.
  • Maintain unit employee records/files/documents.
  • Maintain units P-Card purchases.
  • Act as a back-up assistant to the Medical Director.
  • Act as a back-up fixed asset designee for the unit.
  • Act as a back-up for ordering supplies.
  • Conduct yearly armed intruder, fire, and natural disaster trainings as the Safety Officer for the Adult Forensic unit.

Education

To qualify, you must have:

  • A High School Diploma or G.E.D.
  • A minimum of five (5) years general clerical experience.

Preferred qualifications include:

  • Basic computer skills including data entry, word processing, Excel spreadsheets, and other agency required competencies.
  • Knowledge of computer systems and computer networks.
  • Proficiency in established record keeping and filing.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Detail-oriented task accuracy.
  • A valid Texas Driver's License and insurability under agency policy.
