Job Summary

The Administrative Support Representative provides administrative and customer service support to ensure efficient daily operations. This position serves as a primary point of contact for incoming phone calls, assists customers and employees with inquiries, performs data entry, maintains records, and supports various departments with administrative tasks.

Essential Duties and Responsibilities

  • Answer and direct incoming phone calls in a courteous and professional manner.
  • Aid customers with general questions and route inquiries to the appropriate department.
  • Respond to customer emails and messages in a timely manner.
  • Provide accurate information regarding products, services, policies, and procedures.
  • Maintain a positive and helpful attitude when interacting with customers, vendors, and team members.
  • Perform data entry and maintain accurate records in company databases and systems.
  • Prepare, organize, file, and maintain electronic and paper documents.
  • Aid with submitting purchase orders for weekly recorders in a timely and accurate manner.
  • Track outstanding reorders and follow up with vendors.
  • Develop and refine product copy for inventory items listed on the company website.
  • Sort and submit manufacturer and store made coupons to the appropriate party for reimbursement.
  • Support various departments with administrative projects and tasks assigned.

General Office Support

  • Maintain confidentiality of sensitive company and employee information.
  • Ensure records are accurate, complete, and up to date.
  • Support special projects and company initiatives as assigned.
  • Help maintain an organized and professional office environment.
  • Perform other duties as assigned.

Required Skills and Abilities

  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Strong organizational and time management skills.
  • Able to manage multiple priorities and meet deadlines.
  • High level of accuracy and attention to detail.
  • Able to work independently and as part of a team.
  • Professional demeanor and positive attitude.

Education and Experience

  • A high school diploma or equivalent required.
  • Previous administrative, clerical, customer service, or office support experience preferred.
  • Experience with data entry and office software preferred.

Physical Requirements

  • Prolonged periods of sitting and working at a computer.
  • Ability to communicate effectively by telephone and in person.
  • Ability to occasionally lift and carry up to 20 pounds.
  • Ability to move throughout the office as needed.

Pay Range

$15 - $18 per hour
