Job Summary
The Administrative Support Representative provides administrative and customer service support to ensure efficient daily operations. This position serves as a primary point of contact for incoming phone calls, assists customers and employees with inquiries, performs data entry, maintains records, and supports various departments with administrative tasks.
Essential Duties and Responsibilities
- Answer and direct incoming phone calls in a courteous and professional manner.
- Aid customers with general questions and route inquiries to the appropriate department.
- Respond to customer emails and messages in a timely manner.
- Provide accurate information regarding products, services, policies, and procedures.
- Maintain a positive and helpful attitude when interacting with customers, vendors, and team members.
- Perform data entry and maintain accurate records in company databases and systems.
- Prepare, organize, file, and maintain electronic and paper documents.
- Aid with submitting purchase orders for weekly recorders in a timely and accurate manner.
- Track outstanding reorders and follow up with vendors.
- Develop and refine product copy for inventory items listed on the company website.
- Sort and submit manufacturer and store made coupons to the appropriate party for reimbursement.
- Support various departments with administrative projects and tasks assigned.
General Office Support
- Maintain confidentiality of sensitive company and employee information.
- Ensure records are accurate, complete, and up to date.
- Support special projects and company initiatives as assigned.
- Help maintain an organized and professional office environment.
- Perform other duties as assigned.
Required Skills and Abilities
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
- Strong organizational and time management skills.
- Able to manage multiple priorities and meet deadlines.

Education and Experience
- A high school diploma or equivalent required.
- Previous administrative, clerical, customer service, or office support experience preferred.
- Experience with data entry and office software preferred.
Physical Requirements
- Prolonged periods of sitting and working at a computer.
- Ability to communicate effectively by telephone and in person.
- Ability to occasionally lift and carry up to 20 pounds.
- Ability to move throughout the office as needed.

Pay Range
$15 - $18 per hour
