About the role
The Financial Administrator is a member of the Marketing Operations Team and is responsible for performing accounting activities in support of all members of DTNA’s Marketing and Strategy team. Responsibilities include coordinating and processing contracts, purchase requisitions, purchase orders, goods received confirmations, and tracking new budget requests through all stages of the approval process. This individual also leads ticketing activities for the marketing team’s Motorsports program, ensuring Freightliner dealers and customers are issued tickets on time and accurately. The position requires working with key stakeholders and across teams in Marketing & Strategy, Controlling, Procurement, and Accounts Payable to ensure completeness, accuracy, and compliance with DTNA’s required policies and practices.
Responsibilities
- Coordinate and process all purchase requisitions (PRs), purchase orders (POs), and good receipt (GR) confirmations for all members of the Marketing & Strategy team.
- Manage the PO approval process and authority matrix with Sales and Marketing OpCom Member, including scheduling meetings, running the meetings, and presenting requests in an organized and timely fashion.
- Work closely with project managers and cost center owners to ensure accuracy and compliance of PR, PO, and GR requests, ensuring all required information is provided, submitted information is accurate, and follows DTNA’s procurement and accounting processes.
- Coordinate approval process with L3 executives.
- Coordinate and process all contract requests (e.g., hotel room blocks, trade show booths, etc.), following DTNA’s required process and maintaining compliance and accuracy.
- Maintain a close working relationship with new truck controlling and procurement colleagues, coordinating required and requested reporting and tracking.
- Manage PO requests through DTNA’s approval chain, providing updates to project managers and cost center owners and identifying and gathering any missing information.
- Lead the ticketing process for Freightliner’s motorsports program, working closely with the Brand Marketing team and Freightliner dealers to ensure ticketing is accurate and timely.

Knowledge and experience
- Associate degree and preferably 3 years of relevant experience.
- Strong organizational skills and attention to detail.
- Strong communication skills, working across stakeholders and identifying areas of escalation.
- Proactive approach with strong follow-up skills when deadlines are approaching or information is missing.
- Ability to work collaboratively with cross-functional teams outside of direct reporting structure, supporting and providing timely information to multiple stakeholders.
- Understanding of DTNA’s procurement process and compliance policies and ability to identify and communicate when requests deviate from process or compliance policies.
- Understanding of stakeholders and departments responsible for each process stage and knowing who to approach when escalation or resolution is needed.
- Professional presentation to represent the brands (Daimler Truck, Freightliner, Detroit and Western Star) to the Dealer network as part of Motorsport activities.
- Working knowledge and proficiency in MS Word, Excel, Microsoft Outlook, and Teams.
- Excellent verbal, written, and interpersonal communication skills.
- Prior experience with internal DTNA accounting/procurement systems (e.g., CBFC, SAP, etc.) is a plus.

Pay
Starting hourly pay range: $25.48 – $32.69 USD, dependent on knowledge, skills, and experience.
Schedule
Hybrid schedule: 4 days per week in-office / 1 day remote.
Location
Open to applicants who can work in or relocate to Charlotte, NC or Fort Mill, SC (Fort Mill Office – DTNA). Relocation assistance is not available for this position.
Role structure
This position is designed as one full-time role, with the flexibility to be structured as two part-time roles based on business needs and candidate availability; the final structure will be determined at the time of hiring.
