About the role

The Administrative Support Coordinator provides comprehensive administrative, operational, and program support to advance the APIDA Center, APPEX, and CSU ASAP initiatives. The position also supports program operations implementation and evaluation, coordinates projects, convenings, meetings, and events with campus and community partners, and guides students through university processes.

Responsibilities

  • Coordinate and perform administrative support functions in a complex administrative environment
  • Evaluate and make recommendations pertaining to operational and procedural matters
  • Manage and track program fiscal records
  • Support program operations implementation and evaluation
  • Congruently coordinate projects, convenings, meetings, and events with campus and community partners
  • Guide new and continuing students through university processes and provide program-related support to students and staff

Requirements

  • Knowledge of and skill in standard office procedures and practices
  • Thorough knowledge of English grammar, spelling, and punctuation
  • Ability to use and quickly learn new office support technology systems and software packages
  • Organizational and multi-tasking skills
  • Ability to provide lead work direction, training, and guidance to student assistants or other office staff
  • Ability to work with frequent interruptions
  • Ability to work creatively and independently under general direction related to program goals
  • Ability to interpret and apply policies and procedures independently and use judgment and discretion to act and make decisions and recommendations
  • Excellent written and verbal communication skills
  • Ability to maintain program website
  • Ability to develop, research, analyze, evaluate, and recommend innovative solutions to a broad range of operation and procedural office and administrative problems
  • Skill in interaction with others at all levels within and outside the university, including in sensitive interpersonal situations

Qualifications

  • Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures.
  • Thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing.
  • Some positions may require a knowledge of business mathematics beyond basic arithmetic.
  • Experience coordinating and/or performing administrative support functions in a complex administrative environment
  • Experience setting priorities, meeting deadlines, evaluating and making recommendations pertaining to operational and procedural matters
  • Expertise with office software packages (e.g., Microsoft Office) and office equipment
  • Strong organizational and multi-tasking skills and ability to initiate, coordinate, execute, and evaluate large-scale, complex projects that may involve coordination with the College and/or other programs and programs
  • Ability to provide lead work direction, training, and guidance to student assistants or other office staff and provide input to performance evaluations, when needed.
  • Ability to work with frequent interruptions
  • Ability to work creatively and independently under general direction related to program goals
  • Ability to interpret and apply policies and procedures independently and use judgment and discretion to act and make decisions and recommendations
  • Excellent written and verbal communication skills with the ability to convey information clearly and accurately (e.g., reports)

Skills

  • Knowledge of budget policies and procedures, scholarships, and financial record tracking
  • Proficiency with Common Management System (CMS), Human Resources / Student Administration (HR/SA); Cognos, Cascade, Concur, Saclink email; Financial Data Warehouse; Blackbaud; Add/Drop procedures
  • Experience with preparation of the course schedule, including scheduling classes and reserving rooms
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference

Pay

  • Anticipated Hiring Range: $4,367 per month (Step 1)
  • CSU Classification Salary Range: $4,367 per month (Step 1) - $6,362 per month (Step 20)
  • Salary step placement will be determined based on relevant qualifications and professional experience.

Schedule

  • Work Hours: Monday to Friday, 8:00 am to 5:00 pm. Summer Hours (May - August) will be 7:30am - 4:00pm with a 30 minute lunch.
