Administrative Support Assistant / Records Clerk
About The Role
We are currently looking for a highly organized and detail-oriented Remote Administrative Support Assistant / Records Clerk to join our dynamic team. This is a full-time, remote position designed to provide essential administrative support to our staff and manage our clients' records efficiently. The ideal candidate will possess excellent communication skills, a strong sense of confidentiality, and the ability to multitask effectively in a fast-paced environment. Your primary responsibilities will include maintaining accurate client records, supporting daily administrative tasks, and facilitating smooth communication among team members, clients, and external partners.
Qualifications
- A high school diploma or equivalent required; an associate's or bachelor's degree preferred
- 1-2 years of administrative experience, preferably in a remote setting
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with record management systems and document handling
- Ability to handle confidential information with discretion
- Self-motivated with the ability to work independently
- Attention to detail and problem-solving skills
Responsibilities
- Provide comprehensive administrative support, including scheduling appointments, managing emails, and organizing digital and physical documents
- Maintain and update accurate records for clients, including contracts, performance evaluations, and legal documents
- Communicate effectively with clients, agents, and team members to ensure records are current and accurate
- Aid in drafting, reviewing, and editing contracts and other legal documentation as needed
- Conduct research and compile relevant information to support team projects and client needs
- Handle general office tasks such as answering phone calls, managing correspondence, and overseeing mail distribution
- Support team members with special projects and ad hoc administrative duties
- Ensure compliance with company policies and data protection regulations
- Participate in training sessions and team meetings to stay updated on company procedures and industry standards
