About the role

The incumbent will serve as a Administrative Support Assistant to the Associate Director, Patient Care Services/Nurse Executive (ADPCS/NE) and will report to the Health System Specialist/Executive Assistant (HSS/EA).

Responsibilities

  • Aids in the development and direction of all administrative functions for Nursing.
  • Assists in planning, directing, and controlling Nursing Services administrative activities.
  • Establishes parameters for policies and procedures, personnel management, procurement oversight, training coordination, and award preparation.
  • Coordinates with the Nurse Recruiter to manage resources involving authorized FTEE, staffing levels, and vacancies.
  • Identifies workload trends and performs statistical analyses to determine resource needs and projections.
  • Executes personnel decisions in coordination with Chiefs and Nurse Managers.
  • Coordinates with the Education Department and HR to ensure timely, accurate, and complete documentation for incoming students.
  • Serves as an ordering official for equipment and commodity procurements within Nursing Services.
  • Prepares budget estimates based on historical information and identifies changes needed.
  • Maintains a system to control purchasing and the use of supplies.
  • Coordinates and conducts audits and inspections as assigned.
  • Completes Contract Officer Representative (COR) Level 1 training and aids in the management of procurement for the Service Lines.
  • Performs other related duties as assigned.

Requirements

  • One year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization.
  • Knowledge of a full range of functional areas such as human resources, purchasing, supply and property management, records management, financial management, and related administrative areas.
  • Ability to identify problem and potential problem areas based on daily observations or studies.
  • Analytical and evaluative skills to address issues or functions related to hospital/healthcare administration.
  • Proficiency in PC computer equipment, printers, and software to provide staff support and accomplish specific programs and projects.
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to transmit, receive, and acknowledge electronic mail.
