Administrative Supervisor
Pay Grade 15 – $4,652.52 monthly. Full-time (37.5 hr/wk), executive-branch position; overtime ineligible.
About the role
The Kentucky Education and Labor Cabinet advances education, workforce development, and economic opportunity across the Commonwealth. The Cabinet provides education and training programs, employment and reemployment services, unemployment insurance, and disability determination services to help Kentuckians gain skills, find work, and maintain economic stability. It partners with education providers, workforce boards, and employers to align training with labor market needs and oversees labor programs that promote fair and safe workplaces.
The Office of Vocational Rehabilitation empowers individuals with disabilities to maximize employment, achieve economic self-sufficiency and independence, and contribute back to society. We also help businesses and employers recruit, retain, and accommodate employees with disabilities.
This position will have access to confidential and sensitive information. The successful candidate must safeguard and secure all confidential and sensitive information, complete required trainings, sign acknowledgements, and adhere to all policies and statutes both during and after employment.
Responsibilities
- Supervise, plan, organize, and direct the daily operations of assigned administrative staff and functions.
- Assign and review work, establish priorities, monitor workload, evaluate employee performance, approve leave, provide coaching, and ensure compliance with agency policies and procedures.
- Coordinate and oversee administrative operations that support vocational rehabilitation programs, including procurement, contracts, travel, training, records management, office operations, and special projects to ensure efficient and effective service delivery.
- Develop, implement, and monitor administrative policies, procedures, and internal controls to ensure compliance with state and federal laws, agency regulations, and program requirements.
- Provide guidance and technical assistance to staff and management.
- Manage administrative resources, including budgets, purchasing, equipment, facilities, and office supplies; review expenditures, approve requests within delegated authority, and recommend resource allocations to support agency operations.
- Prepare, review, and analyze reports, correspondence, and administrative documents.
- Monitor operational performance, identify process improvements, and provide recommendations to agency leadership to enhance efficiency and accountability.
- Serve as a liaison with agency leadership, state agencies, vendors, service providers, and other stakeholders to coordinate administrative activities, resolve operational issues, and support agency initiatives, meetings, and projects.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree from an accredited college or university.
- Four years of professional administrative experience.
Substitutions:
- A master’s degree in public or business administration or a related field substitutes for one year of the required experience.
- Additional administrative, business, or research experience substitutes for the required education on a year-for-year basis.
Working Conditions
Primarily office-based at 500 Mero Street, 1st Floor, Frankfort, KY 40601.
