Schedule

Typical work schedule is 40 hours per week, Monday – Friday, full‑time in‑person at the worksite. Overtime eligible with prior supervisor approval.

About the role

This position provides administrative support to the King County Sheriff’s Office Property Management Unit (PMU). It serves as the primary point of contact for customers, visitors, and staff, delivering professional and responsive customer service.

Responsibilities

  • Serve as the front office representative at PMU, greeting the public and handling the public access window.
  • Provide customer service to internal and external customers via telephone, in writing, and in person, including assistance with property releases and returns, and facilitating communication between KCSO personnel and PMU customers.
  • Offer professional, empathetic support to individuals experiencing high stress, using active listening and tactical communication to de‑escalate tension and deliver collaborative solutions.
  • Assist with scheduling and processing court‑ordered gun surrenders and releases, as well as other property releases.
  • Compose, draft, proofread, and edit documents and correspondence; prepare paperwork and organize files.
  • Scan and upload case files and other documents, collaborating with the Records Unit for public disclosure requests.
  • Manage, track, and update various databases.
  • Facilitate supply and product orders, maintain inventory, and distribute supplies/equipment.
  • Provide specialized program‑specific information to customers, interpret policies and procedures, and handle sensitive or potentially volatile situations.
  • Maintain records, track evidence, and document releases.
  • Process mail, identify priority matters, and ensure confidentiality.
  • Attend meetings, take notes, schedule meetings, and maintain calendars for supervisors.

Requirements

  • Minimum of one (1) year full‑time administrative support and office experience.
  • Strong communication and interpersonal skills; ability to convey program‑specific rules, regulations, and policies in person, by phone, or in writing.
  • Demonstrated experience in conflict resolution, de‑escalation, and problem‑solving.
  • Excellent written communication: clear writing, effective proofreading, and document management.
  • Strong initiative, accountability, and ability to prioritize and adapt to changing workloads.
  • Experience maintaining records and using tracking systems for evidence and releases.
  • Proficiency with standard office equipment (PC, copier, multi‑line telephone).
  • Knowledge of inventory procedures, basic accounting skills, and ability to order and distribute supplies/equipment.
  • Good keyboarding skills (minimum 35 WPM) and experience with Word, Excel, Outlook, and database applications.
  • Strong organizational and multi‑tasking abilities.
  • Ability to maintain confidentiality and handle highly sensitive information with discretion.
  • Must pass a thorough background investigation, including a polygraph.
  • Willingness to work around potential allergens, narcotics, firearms, bodily fluids, and bio‑hazardous materials with proper training and PPE.
  • U.S. citizenship, lawful permanent residency, or DACA status; fluent in reading, speaking, and writing English.
  • Ability to meet all KCSO background standards as outlined in Civil Service Rules.

Desired qualifications

  • Two (2) years front‑facing customer service experience.
  • Two (2) years experience answering telephone lines and facilitating call resolutions.
  • Previous experience in the public sector, law enforcement, court, or legal environments.
  • Experience with public disclosure processes.
  • Knowledge of King County Sheriff’s Office policies and procedures.
