About the role

The Department of Obstetrics and Gynecology at the University of Chicago has over 114 clinical providers, providing care at multiple locations. The department handles over 60,000 outpatient visits, 25,000 ultrasound visits, 2,800 deliveries, and 3,000 gynecological surgeries annually. It prioritizes teaching, research, and high-quality clinical care.

Responsibilities

  • Provides administrative support for over 30 providers with a variety of administrative duties.
  • Manages special projects as assigned.
  • Maintains several databases vital to the Labor and Deliver Unit and General OB/GYN operations.
  • Manages an on-call schedule for physicians.
  • Oversees the provider service calendar within the provider software.
  • Solves office problems independently and facilitates solutions with the supervisor.
  • Maintains accounts and processes bills and expense reimbursements.
  • Coordinates logistics of major events, schedules appointments, meetings, and travel arrangements.
  • Supports a leader by preparing reports, managing the calendar, and coordinating special projects.
  • Manages a portion of the leader's budget, monitors accounts, and prepares financial and administrative reports.

Requirements

This position requires a minimum of 5-7 years of work experience in a related job discipline, previous administrative experience, familiarity with central administration in a complex research university environment, and previous experience in the OB/GYN field. Previous Electronic Medical Record (EMR) experience and experience with EPIC and QGenda computer programs are preferred.

Qualifications

  • Bachelor's degree strongly preferred.
  • Previous administrative experience strongly preferred.
  • Familiarity with central administration within a complex research university environment.
  • Previous experience in the OB/GYN field strongly preferred.
  • Experience in taking initiative and organizing and completing projects with minimal supervision.
  • Experience handling sensitive and confidential situations and information with absolute discretion.
  • Experience with Electronic Medical Record (EMR) systems and computer programs such as EPIC and QGenda.
