About the role

The Administrative Assistant I position provides administrative and instructional support in the Department of Marine Sciences at the University of Georgia.

Responsibilities

  • Administrative Support: Oversee front office operations, greet and direct visitors, answer main phone line, liaise with Franklin College Business Office, coordinate departmental events, handle shipping, receiving, and mail distribution, serve as local website administrator, submit termination requests, and support the Department Head.

  • Facilities Management: Coordinate room reservations, serve as liaison for FMD requests, handle telephone/voicemail requests, update departmental directories, oversee building keys, and assist with custodial services.

  • Instructional Support: Provide administrative support in course creation/editing, update departmental web page, and backup for Student Affairs Professional.

  • Asset Management: Manage inventory, authorize off-campus requests, handle surplus requests, conduct annual inventory, and coordinate vehicle maintenance and key checkouts.

  • Other Duties: Run departmental errands as needed and perform other duties as required.

Requirements

High school diploma or equivalent. Preferred qualifications include excellent communication skills, strong organizational abilities, problem-solving skills, and experience with UGA systems and Microsoft software.

Qualifications

  • Knowledge of UGA policies and procedures.
  • Experience with UGA systems: UGA Financials, UGAmart, Works, Athena, Banner, Argos, Ad Astra, Course Evaluation System, CAPA, Syllabus, Pinnacle, and FMD Work Order System.
  • Experience with Microsoft Software: Word, Excel, PowerPoint, Outlook, OneNote, OneDrive, Teams, and Planner.
  • Experience with Adobe Acrobat Pro and Photoshop.
  • Experience with website management: Drupal.
  • Experience with Qualtrics.
  • Ability to learn new procedures, technology, software, etc.
