About the role

Responsibilities
- Answers incoming telephone lines, transfers calls as needed.
- Manages calendar and arranges appropriate appointments for all Academic Counselors, Senior Counselors, Advisors and Directors.
- Assists with receiving and logging of advising sheets, change of minor forms, update to new core forms, memos, tracking in Degree Audit System and audits for over 8,000 students.
- Affords Sr. Administrative Specialist at transfer orientation with student questions and direct to appropriate locations.
- Ensures that all student records and documents are accurately scanned, linked and entered into Salesforce and Perceptive Content.
- Provides administrative support to the Administrative Supervisors, Directors and Associate Dean on an as needed basis.
- Celebrates the posting of Credit by Examination for all College of Liberal Arts Social Scieces students and maintains records.
- Creates Graduation List spreadsheet and sends to appropriate departments.
- Works in a professional, cooperative manner with faculty and staff across campus and promotes good will within the office.
- Demonstrates an ability to be an effective team member of the office by assisting others when needed.
- Greets all office visitors in a friendly, cooperative and helpful manner.
- Performs all duties in a professional manner.
- Participates in functions and events outside of the normal work schedule.
- Replies to CLASSAdvisingunt.edu emails within the same business day.
- Works independently in meeting students, employees and the public, interviews, analyzes and determines the best source of assistance for visitors and callers and directs to appropriate office.
Requirements
- Associate's degree and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.
Qualifications
- Exceptional customer service skills.
- Intermediate Microsoft Office skills.
- Knowledge of accounting/budgeting procedures.
- Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
- Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
- Ability to conceptualize, plan and organize multiple assignments effectively.
- Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
- Skill in developing and maintaining good working relationships.
- Knowledge of policies, practices, procedures and terminology of assigned function.
Skills
- College degree preferred.
- Excellent interpersonal and communication skills.
- Previous office experience, especially in an academic environment.
- Ability to multitask and work with a large staff in a high volume/intensity environment with a patient and professional demeanor.
