About The Role The University of Michigan Injury Prevention Center is seeking a highly organized, proactive, and motivated Administrative Specialist Associate to support its diverse portfolio of research, training, and outreach initiatives. This role involves providing essential administrative support to ensure the seamless operation of the Center’s activities. The successful candidate will coordinate meetings, manage logistical arrangements for workshops and conferences, support communication efforts, and assist with financial transactions. They will also play a vital role in maintaining records, obtaining CME accreditation for educational programs, and supporting community outreach efforts. Qualifications Associate’s degree or equivalent professional experience (minimum of five years in administrative support)Excellent interpersonal and communication skills, both written and verbalAbility to handle sensitive and confidential information with professionalism and discretionStrong organizational skills with the ability to prioritize and manage multiple responsibilitiesProficiency in Microsoft Office applications, including Excel, Word, SharePoint, and PowerPointExperience with EndNote, CANVA, and Emburse is preferredDemonstrated ability to collaborate effectively with diverse stakeholders, including faculty, staff, students, and external partnersSound judgment, initiative, and the ability to work independently and as part of a team in a dynamic environment Responsibilities Coordinate and schedule meetings, workshops, trainings, conferences, and community outreach eventsMaintain faculty curriculum vitae and related records in the Elements systemSupport daily administrative operations, including travel arrangements, space management, procurement, and promotional materialsAssist with financial processes such as travel reimbursements, expense reports, and event-related expendituresManage logistics for events, including registration, venue coordination, and post-event evaluationsMonitor office supply inventory, place orders, and liaise with vendors to ensure necessary resources are availableObtain Continuing Medical Education (CME) accreditation for webinars, symposiums, and educational programsPerform other administrative duties as assigned to support the Center’s mission and operational needs Benefits Comprehensive medical, dental, and vision coverage effective from the first day of employmentRetirement savings with a 2:1 employer matchOpportunities for hybrid or remote work, subject to departmental approval and reviewSupportive work environment committed to professional development and work-life balanceAccess to university resources, training, and wellness programs Equal Opportunity The University of Michigan is an Equal Opportunity Employer.
