About the role
This role provides necessary administrative support to Department faculty and staff, assists with facility management, and provides support for outpatient faculty and staff.
Responsibilities
- Provide administrative support for outpatient faculty and staff, including office phone and reception coverage.
- Aid in the preparation of department/program reports and spreadsheets, reference lists, reprint files, orientation handbooks, and data collection files.
- Research, develop, and design brochures and information flyers describing departmental services.
- Aid faculty/staff in composing and preparing memos, papers, reports, grants, etc., including activities such as typing, proofing, transcription, data summarization, copying, distribution, etc.
- Create department training manuals, including research through design and production.
- Create, organize, and maintain a filing system for programmatic administrative information, policies, records, data, data forms, correspondence, etc.
- Create and modify forms as necessary.
- Provide research and administrative support for special projects, prepare data, report, and slides, follow-up on projects and studies.
- Design posters and slide presentations for national professional meetings.
- Train staff as necessary in the use of presentation software.
- Participate in and maintain minutes of meetings as required.
- Provide back-up administrative support for Care Center clinicians.
- Cook up and coordinate staff efforts in routine department operations/special projects.
- Ensure compliance with Institute policies.
- Ensure safe and clean patient environments and staff offices, including communicating with Facilities and Housekeeping departments.
- Maintain a system for taking inventory of, maintaining, and ordering program equipment and supplies.
- Schedule and greet office visitors, respond to, and direct phone calls and direct and distribute department/Institute correspondence according to established procedures.
Qualifications
- High School diploma, GED, or equivalent required.
- Associate degree or bachelor’s degree preferred.
- Three years’ experience providing administrative support, preferably in a healthcare setting.
