Carotek, a SunSource company, provides process equipment solutions for the industrial, commercial and municipal markets in North Carolina, South Carolina, Tennessee, Georgia and Virginia. Carotek represents over 85 manufacturers as their process equipment distributor, representative, and repair center for pumps, blowers, heat exchangers, valves, instrumentation, IIoT, steam, hydronics and municipal products.
About the role
Performs a variety of duties to provide outstanding service and support to our customers and Mechanical Products Division Sales staff. Within established procedures performs a variety of administrative support functions to receive, process and complete product orders according to customer specifications.
Responsibilities
- Stock orders/inventory management – working with the inside team, the warehouse manager/purchasing manager
- Working/learning various portals and purchase order generation
- Coordinate between shipping/accounting on receipt errors/pricing
- Receive vendor order acknowledgement, update purchase orders/orders in P21 dates/pricing and communicate changes with Inside
- Send a weekly open order report and generate reports for salesmen as requested
- Document control – scanning, filing, organizing
- Receptionist duties when necessary – lunch coverage for a week once a month then as needed in front desk receptionist absence/paid time off
- Provide administrative support to Outside and Inside Sales staff which may include generating various reports, composing routine correspondence, etc.
- Receive and review product purchase orders to ensure terms and conditions are correct, prepare and issue order confirmations to all appropriate parties
- Perform order entry functions by accurately inputting product code, serial number, quantity, price, discount and other pertinent information into the computer system
- Contact manufacturer and supply tracking information when requested
- Maintain stocked inventory status and prepare monthly reports
- Maintain appropriate supplies for timely and accurate issuance
- Organize and maintain file systems, file correspondence and other records
- Follow established Quality Assurance programs
- Communicate with co-workers, management, customers and others in a professional and courteous manner
Requirements
- Associate's degree from a two-year college; or three to five years related experience in industrial distribution
- Or equivalent combination of education and experience
