Texas A&M University System Offices – General Counsel, located in College Station, Texas.

About the role

Provide administrative support to the Director, Clery Act Compliance & Law Enforcement Liaison and the System Ethics and Compliance Office. Serves as the first point of contact for the Moore-Connally Building by greeting guests, checking in guests, answering phones, answering emails, and performing administrative duties. This position is the first point of contact for visitors at the Moore-Connally Building reception desk, Monday - Friday, 8:00 am - 5:00 pm.

Responsibilities

  • Serve as the first point of contact for the Moore-Connally Building and all building occupants by greeting guests in a friendly and professional manner.
  • Assist guests with checking in using a computer-based system.
  • Answer main building phone line using a multi-line phone system, route calls, and forward messages.
  • Manage multiple Outlook domains and calendars.
  • Manage pre-planned visitors and meetings.
  • Maintain office supplies, inventories, and equipment acquisitions/disposals.
  • Compose, transcribe, proofread, and edit correspondence, reports, memoranda, and other documents.
  • Schedule and coordinate meetings and/or conference rooms for System Offices employees as needed.
  • Sort incoming USPS mail upon delivery.
  • Work closely with building superintendents regarding building maintenance and received mail.
  • Monitor and report on building workers and maintenance activities.
  • Coordinate with immediate supervisor regarding building closures and front-door access (e.g., A&M System closures).
  • Assist with ID access management for System Offices employees at the Moore-Connally Building.
  • Support the Ethics and Compliance Officer and SECO department as needed.
  • Maintain confidentiality.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Two years of relevant customer service and administrative support experience, including experience using a multi-line phone system.
  • U.S. citizenship or legal permanent residency (position is security-sensitive).

Pay

$3,657.34 - $4,583.33 per month.

Schedule

Monday - Friday, 8:00 am - 5:00 pm.
