We are looking for an Administrative Program Coordinator to support academic and operational activities located in the Greater Philadelphia Region. This contract position calls for a highly organized and detail-oriented individual who can manage competing priorities, maintain accurate records, and provide dependable administrative support in a fast-moving environment.
Responsibilities
- Manage a high volume of monthly student document requests, ensuring materials are prepared accurately and delivered in accordance with partner institution expectations.
- Coordinate student elective application activity during peak periods by tracking submissions, organizing records, and helping keep applications on schedule.
- Support assessment administration by entering evaluation data into the designated system and maintaining accurate documentation.
- Assist with examination logistics, including proctoring support and related administrative coordination.
- Prepare and distribute recurring student roster reports to affiliated institutions on a monthly basis.
- Oversee day-to-day activity within student application platforms by reviewing submissions, identifying incomplete files, and following up to help ensure timely completion.
- Verify student credentials, assemble required supporting materials, and facilitate submission of documentation to external organizations and supervisors.
- Create and manage written communications, reports, memoranda, and other administrative materials while also handling incoming mail and additional program support tasks as needed.
Requirements
- Demonstrated experience in an administrative support role within a fast-paced, high-volume setting.
- Strong organizational skills with the ability to manage multiple deadlines and shifting priorities effectively.
- High level of accuracy and attention to detail when handling records, forms, and time-sensitive documentation.
- Ability to work with confidential information responsibly and maintain discretion at all times.
- Proficiency with Microsoft Office applications and Google Workspace tools.
- Experience supporting scheduling, coordination, and general administrative operations.
- Familiarity with academic or administrative systems such as Banner, Blackboard, or E-Value is preferred.
- Strong written and verbal communication skills, including the ability to prepare clear correspondence and assist a wide range of stakeholders.
