Administrative Operations Lead
Careerscape is recruiting on behalf of a mid-size logistics company in Charlotte, NC for an Administrative Operations Lead to take ownership of daily office workflows and vendor coordination. This is a hands-on leadership role for someone who thrives on keeping a fast-moving operation organized, ensuring internal teams have what they need and external vendors deliver on time and on budget.

Day to day, you will juggle scheduling, vendor communications, supply and facilities coordination, and process documentation, often shifting priorities as shipments, deadlines, and staffing needs change. Responsibilities
- Oversee daily administrative operations and office workflows to keep the facility running smoothly
- Serve as primary point of contact for vendor relationships including negotiating terms and monitoring performance
- Coordinate procurement of office and facility supplies within approved budgets
- Develop and maintain standard operating procedures for administrative processes
- Supervise administrative support staff and delegate tasks as needed
- Manage scheduling, meeting logistics, and calendar coordination for department leadership
- Track vendor contracts, renewals, and invoicing to ensure timely payment and compliance
- Liaise between operations, warehouse, and administrative teams to resolve workflow bottlenecks
- Maintain accurate records, files, and reporting for audits and internal reviews
- Identify opportunities to streamline office processes and reduce administrative costs
Requirements
- 5 or more years of experience in administrative operations, office management, or a related role
- Proven experience coordinating with vendors and managing service contracts
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office and standard office management software
- Experience supervising or mentoring administrative staff preferred
- Ability to work on-site in Charlotte, NC on a full-time basis
- High school diploma required, associate or bachelor degree preferred
- Experience in logistics, transportation, or supply chain environments is a plus
Pay
The salary range for this role is $50,000 - $60,000 per year, based on experience and qualifications.
