About the Opportunity
The Executive Operations Lead is responsible for ensuring that executive priorities are effectively managed and completed. This senior individual contributor role acts as the operational engine of the Executive Office, coordinating workflows, tracking tasks, and facilitating follow-through across multiple stakeholders. The position supports senior leaders by maintaining organization, visibility, and momentum on high-priority initiatives.
Responsibilities
- Maintain a master action tracker for executive commitments.
- Capture and monitor decisions, next steps, deadlines, and ownership from meetings.
- Identify and address stalled or at-risk tasks.
- Draft follow-up communications and coordinate task assignments.
- Facilitate completion of deliverables with staff, contractors, and partners.
- Translate discussions into clear action plans with timelines and owners.
- Keep weekly overviews of priorities, deadlines, and open items.
- Review and escalate items as needed with the Executive Director.
- Ensure follow-up materials meet standards of professionalism and clarity.
- Prepare materials for meetings, presentations, and briefings.
- Anticipate informational needs and decision points ahead of meetings.
- Track external meeting follow-ups and commitments.
- Manage scheduling, preparation, and coordination for priority meetings.
- Maintain organized information on key stakeholders.
- Compile agendas and materials for leadership meetings.
- Maintain a forward-looking calendar of key deadlines and milestones.
- Summarize weekly priorities including decisions and overdue items.
- Recommend improvements to communication and workflow.
- Support coordination across various organizational functions.
- Assist in board and governance support activities.
Requirements
- Demonstrated strong organizational skills.
- Ability to manage complex workflows and multiple stakeholders.
- Strong written communication skills.
- Proven experience in proactive problem-solving and follow-through.
- High level of discretion and trustworthiness.
Pay Range and Compensation Package
