Administrative Operations Coordinator
About the role
A growing professional services organization is seeking an Administrative Operations Coordinator to support daily business operations, human resources activities, and general office administration.
Key Responsibilities
- Provide administrative support to leadership and operational teams.
- Prepare reports, presentations, correspondence, and business documents.
- Track deadlines, action items, and follow-up activities.
- Maintain confidential records and documentation.
- Aid in internal communications and administrative projects.
- Support process improvement initiatives and special projects.
- Assist with recruiting activities, interview scheduling, and candidate communications.
- Support employee onboarding and new hire administration.
- Cook up performance review schedules and related documentation.
- Maintain employee files and records with strict confidentiality.
- Aid in HR programs, employee engagement initiatives, and compliance tracking.
- Cook up team meetings, employee events, training sessions, and company celebrations.
- Manage logistics, vendor communication, and scheduling.
- Aid in employee recognition and engagement activities.
- Maintain training records and professional certification tracking.
- Aid in compliance documentation and regulatory filings.
- Monitor renewal schedules and required reporting deadlines.
- Financial Administration
- Process vendor invoices, payment requests, and employee expense reimbursements.
- Verify approvals and supporting documentation for payments.
- Organize and maintain payment records and receipts.
- Assist with tracking incoming payments and account documentation.
- Will assist with:
- Greet visitors and provide professional customer service.
- Cook up shipping, receiving, mail distribution, and courier services.
- Support day-to-day office operations to ensure a productive work environment.
Qualifications
- A high school diploma or equivalent.
- 1+ year of office administration, customer service, or coordinator experience preferred.
- Proficiency with Microsoft Office 365, including Outlook, Word, Excel, Teams, and PowerPoint.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Ability to handle sensitive and confidential information.
- Dependable, professional, and detail-oriented.
PREFERRED
- An associate or bachelor's degree preferred but not required.
- Experience supporting HR, accounting, or professional services teams.
- Familiarity with scheduling, document management, or business software systems.
- Exposure to invoicing, billing, or accounts payable processes.
