About the role
Under the direction of assigned leadership, you will supervise and coordinate the day-to-day administrative support activities for the Department. Using independent judgment and initiative, you will act as a liaison between faculty, physicians, departments, and other stakeholders. Your role ensures support staff effectively deliver required service levels and adhere to all policies, procedures, and regulatory requirements. You will assist top leadership in a staff capacity by handling a wide variety of administrative functions, develop office procedures and policies, and be responsible for purchasing and maintaining office supplies, equipment, and budget expense control.
Responsibilities
- Provide administrative support to the department with regard to operational and financial management.
- Perform all other duties as assigned by management within job scope.
- Supervise clerical, customer service, and clinical support staff, including organizing work assignments, counseling, problem-solving, ensuring excellent customer service, scheduling, productivity monitoring, evaluating performance, implementing performance improvement projects, and maintaining payroll functions.
- Prepare and process physician recruitment-related activities, including searches, staff appointments, credentials, promotion, and tenure compliance with the administration office.
- Maintain appropriate records, required documentation, and employee files, including physician credentials and licensure documentation.
- Approve leave requests for staff and ensure travel reimbursement/expenses for faculty are submitted in a timely fashion by support staff.
- Assist the chairman and Department Administrator in annual budget preparation, including budget data entry, maintenance of expense reports, and completion of check requests.
- Authorize financial documents, such as check requests, for the Chairman up to a maximum amount as decided by the Chairman.
- Track completions and delinquencies in mandatory training and report delinquencies to appropriate staff.
Requirements
- 3 years of managerial or administrative experience required.
- Associate’s degree in Office Administration or Management preferred.
- Experience in a relevant position may be substituted for education on a year-to-year equivalency basis.
