Administrative Legal Assistant - NAPOLS
About the role
Legal Aid Services of Oregon (LASO) is seeking a full-time Administrative Legal Assistant for the Native American Program of Legal Aid Services of Oregon (NAPOLS) located in Portland, Oregon. This position is a hybrid in-office/remote position.
Responsibilities
- Meet the clerical needs of a busy law office.
- Serve as a first responder on the Intake Line.
- Screen and schedule potential clients.
- Identify legal issues based on information provided by potential clients and present to the NAPOLS team for case staffing discussion.
- Answer incoming calls and, if needed, assist with walk-ins.
- Research and provide detailed referral information.
- Process incoming and outgoing mail.
- Calingnding and coordination of meetings as directed.
- Provide support for lawyers in preparing, revising, and finalizing documents and correspondences.
- Aid with grant compliance and status reporting as directed.
- File client documents, mostly in an electronic format.
- Create and destroy client files.
- Provide office accounting support include communications with vendors, tracking of office-related accounts and payments, reimbursement requests, and credit card reconciliation.
- Arrange for information technology (IT) assistance and engage with IT as needed.
- Create and update inventory list of NAPOLS office property.
- Maintain and arrange for service of office equipment as needed.
- Make travel arrangements and accommodations for staff as needed.
- Participate in Team Meetings.
- Utilize office technology and software including but not limited to Legal Server, Outlook, Sharepoint, Microsoft Teams, Zoom, Excel, and Adobe.
- Other receptionist /office support tasks as needed.
Qualifications
- The position requires a person who is self-motivated, an independent worker, and who has the ability to quickly switch between tasks as the need arises.
- They must also possess excellent people skills and communication skills, the ability to work effectively with trauma survivors, and have competent phone, computer, and word processing skills.
- We're looking for an organized and efficient person who is passionate about serving the Native community, who understands the challenges and pace of a small office with a large volume of work, and who can exercise compassion, empathy and curiosity for potential clients and community members who may be in crisis and who are usually facing difficult problems.
- This position requires a person who demonstrates good judgment, the ability to handle stress and regulate emotions in a healthy way, who takes initiative and responsibility, and who has an overall positive attitude as a contributing and core member of our team.
Working Conditions and Physical Requirements
- Work in an office environment including working at workstation and attending meetings.
- Hybrid schedule with 2-3 days in office each week, remaining days remote.
- Use of computer and other office equipment.
- Ability to lift 15 lbs.
Minimum Required Experience
The minimum required experience includes appropriate educational background, skills and/or experience.

Supervising Attorney and/or Program Director
Salary/Benefits
- Compensation is based on a 35-hour work week.
- Salary range is $45,200 – 50,700 for 0-5 years’ experience; $51,800 – 56,200 for 6-10 years’ experience and $57,300 - $67,200 for 11-20 years’ experience annually; salaries are determined by relevant work experience and our Collective Bargaining Agreement.
- Additional compensation of $4,300 to $5,700 is available annually for bilingual ability, depending on proficiency.
- Full benefits package including individual and family health, vision, and dental insurance coverage; 6% employer retirement contribution; generous paid holidays, vacation, and sick leave; and paid moving expenses.
