This position provides administrative and Human Resources support for the daily operations of a fast-paced trucking and logistics company, structured as approximately 60% administrative duties and 40% Human Resources duties. The role serves as an important point of support for management, drivers, employees, and job applicants.
Responsibilities
Administrative Duties
- Provide daily administrative and clerical support to management and company departments.
- Answer and direct incoming telephone calls, emails, and general inquiries.
- Maintain organized electronic and physical company records.
- Prepare, scan, copy, file, upload, and distribute company documents.
- Perform data entry and maintain spreadsheets, reports, logs, and tracking systems.
- Assist with maintaining driver, vehicle, and company documentation.
- Monitor documentation and expiration dates and assist with obtaining updated records as needed.
- Communicate with drivers, dispatch, operations, management, vendors, and other company personnel.
- Assist with scheduling meetings, appointments, training, and other company activities.
- Receive and distribute incoming mail and packages and prepare outgoing correspondence.
- Maintain office supplies and assist with coordinating office-related purchases.
- Prepare routine letters, forms, notices, and other company correspondence.
- Assist management with special projects and operational assignments.
- Maintain an organized and professional office environment.
- Perform additional administrative duties as assigned.
Human Resources Duties
- Provide administrative support throughout the recruiting and hiring process.
- Assist with reviewing applications.
- Communicate with applicants and schedule interviews.
- Assist with pre-employment requirements, background checks, and other hiring documentation.
- Prepare new-hire paperwork and assist with employee onboarding.
- Assist with new-hire orientation and ensure required documents and acknowledgments are completed.
- Create, maintain, and update employee personnel files.
- Maintain employee records and HR documentation in accordance with company procedures.
- Assist employees with routine HR-related questions and direct matters requiring management review to the appropriate individual.
- Assist with employee changes, transfers, promotions, and separation documentation.
- Support employee recognition, engagement, training, and company events.
- Maintain strict confidentiality regarding employee, applicant, payroll, driver, and company information.
- Assist with other Human Resources duties and projects as assigned.
Requirements
- High school diploma or GED required.
- Associate degree, HR certification, or coursework in Human Resources, Business Administration, or a related field is preferred but not required.
- Previous administrative, clerical, Human Resources, or office experience preferred.
- Experience in trucking, transportation, logistics, warehousing, or a related industry is a plus.
- Strong organizational and time-management skills.
- Excellent attention to detail and recordkeeping abilities.
- Strong written and verbal communication skills.
- Ability to communicate professionally with drivers, employees, applicants, vendors, and management.
- Ability to manage multiple responsibilities and adjust priorities in a fast-paced environment.
- Ability to handle sensitive and confidential information appropriately.
- Proficiency with Microsoft Word, Excel, Outlook, and general office technology.
- Ability to learn HR, transportation, document-management, and other company software systems.
- Dependable, professional, and able to work with limited supervision.
Schedule
Full-time, on-site position. Work is primarily performed in an office environment within a trucking and logistics operation. The employee must be able to respond professionally to changing priorities and time-sensitive operational needs.
