About the Role

The Office and Administration Coordinator is a key operational support role responsible for managing office administration, onboarding coordination, employee experience, training logistics, and facility operations. The position serves as a trusted partner to both the People Operations and Operations teams, ensuring smooth day-to-day office functions while creating a professional and welcoming environment for employees, visitors, and business partners.

Qualifications

  • A high school diploma or equivalent required
  • Additional education in Business Administration, Human Resources, or a related field is preferred
  • Experience in office administration, administrative coordination, customer service, or People Operations
  • Experience supporting onboarding, office management, or employee engagement activities is preferred
  • Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams)
  • Experience coordinating meetings, events, vendors, or administrative projects
  • Ability to maintain confidentiality while handling sensitive employee and business information

Requirements

  • Manage daily front office operations and maintain a professional workplace environment
  • Welcome visitors, candidates, and guests while serving as the primary point of contact
  • Cookordinate meetings, interviews, onboarding activities, and company events
  • Manage office supplies, vendor communication, deliveries, and facility maintenance requests
  • Support People Operations with onboarding logistics and employee engagement initiatives
  • Prepare conference rooms and shared workspaces for meetings and events
  • Maintain accurate documentation and complete administrative tasks efficiently
  • Handle confidential employee and business information with discretion
  • Manage multiple priorities while consistently meeting deadlines
  • Work independently with a proactive, solution-oriented approach
