About the role
The Department Administrator supports the quoting and business development teams by managing quote requests, ensuring completeness of documentation, and facilitating communication between internal and external stakeholders.
Responsibilities
- Serve as the point of contact for the quoting department to both internal and external stakeholders.
- Maintain an inbox for new quote requests and initiate the quoting process.
- Ensure completeness of quote requests and provide necessary information to the quote team.
- Enter new quote requests into Salesforce or similar systems for management during the quoting process.
- Acknowledge quote delivery dates to business development and program management teams.
- Create and manage costing sheets and quote cover sheets for customer delivery.
- Handle internal approvals and sign-offs based on the value of the opportunity.
- Support the Business-Win process by attending bid reviews and approval meetings.
- Ensure all assumptions and exceptions are included on coversheets before delivery to customers.
- Perform general administrative duties such as filing and approvals to comply with regulatory requirements.
- Handle export-controlled design documentation according to TT's quality management system procedures.
- Support the company's safety policies and participate in safety training.
- Other duties as assigned.
Qualifications, Skills And Attributes
- High school diploma with 2+ years of administrative or similar experience.
- Excellent written and verbal communication skills.
- Ability to read and analyze various documents and reports.
- Strong grammar, editing, and proofreading skills.
- Proficiency in standard office software, including word processing, spreadsheets, databases, slide presentation tools, internet browsers, email platforms, and business systems software.
- Microsoft Excel proficiency preferred.
- Reasoning ability to solve practical problems and work effectively with a variety of concrete variables.
- Ability to interpret instructions presented in different forms and communicate effectively.
- Ability to self-supervise and manage time effectively.
