This role focuses on providing administrative and business support to the organization to achieve operational goals, with a focus on Clinical Administration duties such as long-term strategic planning, determining strategic issues and opportunities, prioritizing investments, allocating resources, and driving practice growth. It operates in a hands-on environment, delivering support services under moderate supervision.

About the Role

This position provides administrative coordination, reporting, and day-to-day operational support to an assigned program. It involves assessing, planning, implementing, and evaluating health services, as well as organizing resources to meet short- and long-term goals. The role serves as a liaison to facilitate programmatic and operational communications internally and externally, working cooperatively to create a system of quality healthcare.

Responsibilities

  • Collaborates with leadership to improve service outcomes impacting patient comfort by overseeing development and follow-through of improvement opportunities aligned with the hospital’s mission and scope.
  • Oversees day-to-day functions, including budget compliance/payroll, staffing, scheduling, front desk operations, revenue capture, and prior authorizations for patients based on insurance coverage.
  • Acts as the primary point of contact for clerical needs, such as timesheets, office supplies, check requests, mail management, billing, and dissemination of program materials (e.g., fliers, education packets).
  • Develops and reviews workflow processes with the clinical and administrative team to improve efficiency.
  • Coordinates staffing patterns based on volume and needs to ensure uninterrupted patient care and efficient workflows.
  • Collects, analyzes, and makes decisions based on data and evidence-based statistics.
  • Facilitates inter- and intra-departmental communication, including responding to internal and external inquiries and disseminating updates via letters, emails, or other methods.
  • Conducts meetings for providers and staff to discuss new policies, procedures, and updates to enhance care delivery and resolve issues.
  • Assists with regulatory compliance for ACR/JCAHO/ACOS standards and participates in Quality Improvement activities for strategic planning and accreditation preparation.
  • Participates in the interview process and assists in orienting new employees.
  • Communicates progress to the management team to ensure goals are achieved.

Requirements

  • Two (2) years of administrative experience.

Qualifications

Preferred:

  • High school diploma or equivalent.
  • Five (5) years of administrative experience in a healthcare setting.
  • Bilingual.

Skills & Abilities

  • Computer literacy, including proficiency with word processing programs, electronic spreadsheets, and learning new applications.
  • Excellent customer service skills, including strong interpersonal and telephone communication.
  • High degree of tact for frequent interactions with patients, physicians, and insurance companies.
  • Strong business acumen, including understanding of healthcare expense, revenue, and reimbursement models.
  • Ability to develop recommendations based on analysis and lead teams toward decisions.
  • Excellent organizational skills with attention to detail.
  • Proven administrative skills and experience.
  • Ability to prioritize work and adapt to changing assignments.

Physical Requirements

  • Frequent sitting, occasional standing or working, and lifting of 10-15 lbs.
  • Exposure to typical office environments (e.g., dust).
  • Manual dexterity for computer keyboard operation.
  • Ability to see computer screens and read reports.
  • Ability to hear instructions from physicians and clinical/nursing staff.

Pay

Tufts Medicine offers competitive compensation designed to attract, retain, and motivate talented individuals. The base pay range for this role is $24.65 - $30.82 per hour, with individual offers determined by relevant experience, certifications, education, skills, and internal equity.
