About the Role
The Children's Advocacy at WIHD is seeking a detail-oriented, bilingual (English and Spanish) Administrative Coordinator to support the Children’s Advocacy Center, Multidisciplinary Team, and Child Fatality Review Team. This role requires strong administrative and organizational skills, a commitment to confidentiality (HIPAA), and the ability to work calmly in stressful situations as part of a multidisciplinary team.
Responsibilities
- Professional representation of the CAC: manage incoming calls, greet and register clients and MDT members, generate emails/calls to team members, and schedule conference calls/meetings.
- Maintain the CAC Outlook calendar, identifying and resolving scheduling conflicts with supervision.
- Manage electronic and paper case records, including data entry, database management (Collaborate/Excel), and generating monthly statistical/performance reports.
- Collate records for subpoenas or requests, prepare case information for monthly reviews, and administer client satisfaction surveys.
- Oversee distribution of digital recordings and provide general administrative support (copying, faxing, scanning, ordering supplies, etc.).
- Support the Child Fatality Review Team coordinator with administrative tasks as needed.
Requirements
- High school diploma or equivalent.
- 2+ years of professional work experience.
- Bilingual in English and Spanish (oral and written communication).
- Proficiency in MS Office (Word, Access, Excel, Outlook).
- Excellent interpersonal, communication, listening, and organizational skills.
- Ability to handle physical tasks (e.g., lifting, sitting on floors).
