Administrative Coordinator
About the Role
United Bags, Inc., a fifth-generation, family-owned company founded in 1890, is seeking an organized, motivated Administrative Coordinator to join the St. Louis team. This role starts with supporting day-to-day administrative and customer service activities while learning how Sales, Operations, Accounting, Inventory, and Warehouse teams work together. For the right person, this position offers the opportunity to take on additional responsibility and grow into a broader Operations role.
What You'll Do
Administrative & Customer Support
- Provide administrative support to the St. Louis office and leadership team
- Answer customer questions by phone and email and provide excellent customer service
- Process customer orders, paperwork, and other documentation
- Maintain accurate records and information in company systems
- Assist with invoicing, payments, and other basic accounting-related tasks
- Prepare reports, spreadsheets, and other business documents
- Coordinate meetings, schedules, and internal communications
Learn Our Operations
- Work with multiple departments and learn how the business operates from order to delivery
- Support Sales, Operations, Accounting, Purchasing, Inventory, and Warehouse teams
- Assist with order management and fulfillment processes
- Help coordinate shipping, purchasing, inventory, and distribution activities
- Review orders and information for accuracy
- Track information and prepare operational reports
- Help identify issues and follow through to resolution
- Assist with special projects and process improvements
Grow Into Operations
As you gain experience and demonstrate your ability to take ownership, you'll have opportunities to take on more responsibility. This may include:
- Managing specific operational processes
- Creating and maintaining reports
- Analyzing information and identifying opportunities for improvement
- Coordinating activities between departments
- Taking ownership of projects and assigned processes
- Supporting inventory and distribution initiatives
- Helping develop procedures and improve efficiency
Qualifications
- 2+ years of administrative, customer service, office, or operations experience preferred
- Associate degree or Bachelor's degree preferred, but equivalent experience will be considered
- Strong communication skills, both written and verbal
- Excellent organization and attention to detail
- Comfortable handling multiple priorities and deadlines
- Strong computer skills and proficiency with Microsoft Office, particularly Excel, Outlook, and Word
- Ability to learn new software and business processes
- Strong problem-solving skills and willingness to take initiative
- Ability to work independently while also collaborating with a team
Preferred Experience
- ERP, CRM, or order management systems
- Manufacturing, distribution, logistics, or supply chain
- Customer service or B2B sales support
- Invoicing, payments, or other accounting support
- Excel reporting or data analysis
