About the role
The Administrative Coordinator serves as the first point of contact for visitors and callers while providing administrative support to ensure the efficient operation of the office.
Responsibilities
- Answer and direct incoming calls on the organization's main telephone line in a professional and courteous manner.
- Greet visitors and direct them to the appropriate person or department.
- Maintain a welcoming, organized, and professional reception area.
- Receive, sort, and distribute incoming U.S. mail.
- Prepare outgoing mail, including certified and priority mail as needed.
- Cook up incoming and outgoing UPS, FedEx, and other courier shipments.
- Track packages and resolve shipping issues when necessary.
- Maintain shipping supplies and coordinate pickups.
- Aid with filing, scanning, copying, and document organization.
- Prepare routine correspondence and forms.
- Maintain office supply inventory and place orders as needed.
- Aid with scheduling meetings and preparing meeting materials.
- Support special projects and department initiatives.
- Maintain accurate records and administrative files.
- Perform data entry and maintain confidentiality of sensitive information.
- Aid with basic administrative requests.
- Cook up office equipment service requests when needed.
- Support company events and employee activities.
- Perform other duties as assigned.
- Maintain a clean, organized, and welcoming front office, reception area, breakroom, and common spaces throughout the workday.
- Perform light housekeeping duties, including loading and unloading the dishwasher, wiping down counters and tables, organizing supplies, and keeping shared areas neat and presentable.
- Restock breakroom, kitchen, and office supplies as needed.
- Notify the appropriate department of maintenance or cleaning needs that require additional attention.
Qualifications
- A high school diploma or equivalent required.
- An associate degree or administrative training preferred.
- One to three years of administrative, receptionist, or office support experience preferred.
- Experience in a customer service environment is highly desirable.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Exceptional organizational skills and attention to detail.
- Ability to prioritize multiple tasks while maintaining accuracy.
- Proficient with Microsoft Office (Word, Excel, Outlook).
- Ability to maintain confidentiality.
- Professional demeanor and positive attitude.
- Ability to work independently while contributing to a team environment.
Physical Requirements
- Sit or stand for extended periods.
- Frequently use a computer, telephone, copier, and other office equipment.
- Lift and carry packages and office supplies weighing up to 25 pounds.
- Occasionally bend, reach, and walk throughout the office.
Work Environment
- This position works primarily in a professional office environment with frequent interaction with employees, applicants, vendors, and the public.
- The position requires regular attendance during normal business hours.
Pay
The wage for this position is $23/hr.
Schedule
FTYR (Full-Time Year-Round)
