We are looking for an Administrative Coordinator to support daily office operations and create a detail-oriented, welcoming experience for employees, visitors, and business partners in Charlotte, North Carolina. This contract position with the potential to become permanent is ideal for someone who enjoys balancing front-office interaction with behind-the-scenes coordination.
Responsibilities
- Welcome guests, clients, and vendors with courtesy and help ensure a positive experience from arrival through departure.
- Arrange business travel for team members and leaders, including transportation, lodging, and detailed itineraries.
- Oversee meeting spaces and maintain office calendars to support efficient scheduling and room usage.
- Assist in organizing client visits, product demonstrations, open houses, and other company-sponsored events.
- Provide day-to-day administrative support for managers and leadership, including document preparation and general coordination.
- Monitor office supply levels, place orders with vendors, and help maintain uninterrupted workplace operations.
- Receive, sort, and distribute mail, packages, and deliveries in a timely and accurate manner.
- Prepare reports, presentations, and written correspondence while maintaining organized records and office documentation.
- Partner with the Office Manager and Technical Support team to keep administrative processes and the workplace environment running effectively.
Requirements
- At least 2 years of experience in administrative support, office coordination, reception, or executive assistance.
- Strong verbal and written communication skills with a customer-focused approach.
- Demonstrated ability to manage competing priorities and meet deadlines in a fast-paced setting.
- Experience coordinating travel, scheduling meetings, and maintaining calendars.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Excellent organizational skills with strong attention to detail and accuracy.
- Ability to work independently while contributing effectively within a team-oriented environment.
- Confident and detail-oriented when interacting with executives, customers, visitors, and internal staff.
