About the role
The Administrative Coordinator role provides key administrative support to the Employee Relations & Employment Law department and the Rewards team members. The position requires strong prioritization and organizational skills, a heightened sensitivity to deadlines, and a high degree of professionalism and confidentiality.
Responsibilities
- Proactively manage complex calendars including arranging and rearranging appointments as needed for internal and external stakeholders.
- Handle incoming and outgoing phone and electronic communications while maintaining confidentiality.
- Organize, prioritize, and execute administrative tasks and projects as requested by the VP Employee Relations & Employment Law and VP of Rewards.
- Work closely and collaboratively with other HR Administrative Coordinators and Rewards Team in support of special assignments.
- Manage workload and multiple assignments with a strong focus on organization and prioritization.
- Answer inquiries and direct to appropriate parties for prompt and efficient resolution.
- Maintain documents and records in accordance with administrative and record retention policies.
- Attend and participate in meetings and events as required.
Requirements
- A high school diploma is required; an associate's or bachelor's degree is preferred.
- At least 5 years of administrative experience supporting multiple leaders, including senior executives.
- Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Teams.
- Experience managing complex calendars, meetings, travel arrangements, and executive priorities.
- Ability to anticipate needs, manage competing priorities, and adapt in a fast-paced environment.
- Experience coordinating international travel, events, and SharePoint administration is preferred.
- Flexibility to support business needs outside standard business hours when required.
- Strong organizational, communication, interpersonal, and problem-solving skills.
- Ability to work independently while building effective relationships across all levels of the organization.
- Ability to quickly learn new systems and troubleshoot basic technology issues.
- Superior prioritization, organization, proofreading, and office administration skills.
Qualifications
