About the role

The Administrative Coordinator will support the Director of Business Operations in managing day-to-day operations, ensuring smooth workflow, and maintaining administrative systems.

Responsibilities

  • Manage office supplies and equipment, ordering and distributing as needed.
  • Coordinate travel arrangements for staff and clients.
  • Handle incoming and outgoing mail, including scanning and filing documents.
  • Support event planning and coordination, including setup and teardown.
  • Assist with HR functions such as scheduling and timekeeping.
  • Prepare reports and maintain records related to budget management and financial tracking.
  • Oversee the maintenance of the agency's physical space, including cleaning and repairs.
  • Support the Director of Business Operations in managing vendor relationships and contracts.

Requirements

  • Bachelor's degree in Business Administration, Office Management, or a related field.
  • Minimum of 2 years of administrative experience in a professional setting.
  • Experience with Microsoft Office Suite, particularly Outlook and Excel.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks simultaneously and prioritize effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in using basic office equipment and software.

Qualifications

  • Knowledge of administrative procedures and practices.
  • Experience with project management tools and software.
  • Basic understanding of accounting principles and financial reporting.
  • Ability to work independently and as part of a team.
  • Strong problem-solving and decision-making skills.

Pay

The starting salary range for this position is $21.55 -- $23.75/hr. (Non-bilingual) and $23.49 -- $25.89/hr. (Bilingual).

Schedule

This position is a hybrid role, requiring in-office attendance on two days per week.
