Qualified employees may also receive a Summit Baptist Church Academy (weekday preschool) discount. 1 week paid vacation, accrued annually. Overview Summit Baptist Church is seeking a warm, organized, and dependable Administrative Coordinator to support the church's daily administrative operations. This role is ideal for someone who enjoys keeping things organized, helping people communicate clearly, managing details, and supporting a team. The Administrative Coordinator helps staff, ministry leaders, volunteers, and church members stay connected and informed through strong systems, clear communication, and reliable follow-through. This position is a focused, part-time administrative role that supports daily church office operations, maintains key systems, and provides reliable support to staff and ministry leaders. Primary Responsibilities Staff and Ministry Administrative SupportAttend one weekly staff meeting, take notes, and help follow up on key administrative details.Help connect information between staff, ministry leaders, committees, and volunteers.Assist with scheduling meetings, maintaining calendars, and coordinating church-wide communication.Support the Senior Pastor and staff with administrative tasks related to church ministry and weekly operations.Help proofread church communications and printed materials, including weekly emails, newsletters, flyers, announcements, and other ministry updates. Church Calendar and CommunicationMaintain the church calendar and help coordinate room usage, ministry events, and facility availability.Help staff and ministry leaders communicate clearly about upcoming events, deadlines, and needs.Assist with the monthly newsletter and other regular communication pieces.Help keep church information organized so staff and volunteers know what is happening and when. Database and Member RecordsMaintain accurate non-financial member and attendee records in Planning Center.Keep membership, attendance, baptism, and ministry records current and organized.Merge duplicate profiles and help maintain clean, accurate data.Generate reports as needed to support staff, ministry leaders, and committees.Help staff and volunteers use Planning Center effectively for ministry communication and organization. Office AdministrationHelp maintain an organized church office environment.Order and maintain basic office supplies and materials.Keep digital and physical records organized and accessible.Assist with church correspondence and basic office communication.Respond to phone calls, emails, and visitors with kindness, clarity, and professionalism. Volunteer and Ministry SupportCommunicate with volunteers in a helpful and encouraging way.Support ministry leaders as they organize teams, events, and ministry needs.Help create clear systems so volunteers know where to go, what to do, and who to contact.Serve as steady administrative support for the church’s ongoing ministry life. Desired Skills And Qualities The ideal candidate will be: Organized, dependable, and detail-oriented.Comfortable managing calendars, emails, records, and digital systems.Able to communicate warmly and professionally with church members, volunteers, staff, and community members.Proficient with Microsoft 365, email, shared documents, and cloud-based systems.Willing to learn Planning Center and other church management tools.Able to proofread and edit basic church communications.Good at follow-through and helping tasks move from conversation to completion.Comfortable working with both staff and volunteers.Able to maintain confidentiality and handle sensitive information with care. A strong candidate from outside the church who has administrative skills, a warm presence, and a willingness to learn church systems may be a great fit.
