Administrative Coordinator
About the role
Apply Description Banner Associates is seeking an Administrative Coordinator to support a wide range of administrative needs across Human Resources and Operations. This is a full-time, non-exempt position with a flexible schedule of 30-40 hours per week. Core hours are Monday-Thursday, 9:00 a.m.-3:00 p.m. and Friday, 8:00 a.m.-12:00 p.m., with additional hours scheduled around business needs and the selected candidate’s availability.
Responsibilities
- Provide administrative support across Human Resources and Operations.
- Cook up employee events, meetings, training sessions, onboarding activities, internal communications, and other employee-focused initiatives.
- Coordinate recruiting coordination, benefits-related documentation, HR records, and other routine HR processes, while maintaining confidentiality and sound judgment.
- Greet visitors, clients, and vendors in a professional and friendly manner and assist them as needed.
- Keep office supplies, conference rooms, and shared office areas organized, stocked, and prepared for employees, clients, and visitors.
- Support project administration by preparing, formatting, organizing, and distributing project documents and related materials.
- Aid project teams with meeting notes, data entry, closeout documentation, and other project support as needed.
- Jump in on special projects and day-to-day needs that help the team work efficiently and serve clients well.
Requirements
- High school diploma or equivalent required.
- Associate degree in business, administrative support, human resources, or a related field preferred.
- Prior experience in administrative support, office coordination, project administration, or HR support preferred.
- Experience in a professional services, engineering, architecture, construction, or consulting environment is helpful, but not required.
- Strong attention to detail, organization, accuracy, and follow-through.
- Ability to manage multiple tasks, shift priorities, and keep things moving.
- Strong communication skills and a helpful, professional approach with employees, clients, visitors, and vendors.
- Comfort using Microsoft Word, Excel, Outlook, and PowerPoint.
- Willingness to learn company software systems and internal processes.
- Dependable, flexible, proactive, and willing to help where needed.
- Valid driver’s license and ability to run local business-related errands as needed.
