Administrative Coordinator

Responsibilities

  • Learn and use internal systems to accurately enter data from manifests into company databases.
  • Scan, upload, and report information from various documents and manifests in a timely and accurate manner.
  • Create and update Word documents and Excel spreadsheets to support office and operational needs.
  • Perform general office duties, including creating shipping documents, filing, opening mail, and receiving visitors.
  • Answer phone calls, provide assistance to callers, or direct them to the appropriate department or person.
  • Exercise discretion and interpretive judgment when working with outside vendors and service providers.
  • Create, review, and organize manifests into packages, confirming destinations and ensuring accuracy.
  • Aid Sales and Field Technical Services teams with paperwork, invoicing, and customer communications.
  • Prepare, mail, and ship packages via USPS, UPS, and FedEx, and handle stuffing and sealing of mailings.
  • Maintain good team communication and collaborate effectively with colleagues.
  • Use Microsoft Teams and other communication tools to coordinate work and share information.

Requirements

  • High school diploma or equivalent education.
  • 1–2 years of experience in an office environment.
  • 2 years of experience using Microsoft Excel or Microsoft Office.
  • Demonstrated experience with customer interaction and customer service.
  • Experience with data entry and administrative assistance.
  • Strong attention to detail and accuracy in data entry and documentation.

Qualifications

  • Experience with dispatch and transporting customer service is a plus.
  • Experience using Microsoft Teams for communication and collaboration.
  • Background in administrative support, clerical work, or front desk operations.
  • Comfort working with outside vendors and exercising sound judgment.
  • Demonstrated ability to work effectively as part of a team.

Work Environment

This position is based in an office environment and operates on a five-day workweek. The role involves regular use of computers and standard office software, including Microsoft Excel, Word, Outlook, and Microsoft Teams. Daily work includes handling physical documents, mail, and packages, as well as interacting with visitors, customers, and internal staff.

Pay and Benefits

The pay range for this position is $20.00 - $20.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment. Benefits are subject to change and may be subject to specific elections, plan, or program terms.
