Responsibilities
- Manage and prioritize complex calendar and meeting schedules across global time zones.
- Cook up and process expense reports in accordance with company policy.
- Manage the AS governance and office hours agenda topics, calendar invitations, and prereads.
- Serve as gatekeeper and point of contact between the VP and internal/external stakeholders.
- Inform the VP of critical meetings, schedule conflicts, or calendar changes.
- Demonstrate professionalism, executive presence, and judgment when interacting with senior leaders and stakeholders.
- Handle confidential information with discretion and sound judgment.
- Maintain regular communication with internal stakeholders, managing follow-ups and flagging action items.
- Liaise with cross-functional partners, executive assistants, and global teams to align schedules and workflows.
- Facilitate team communications and track corporate training completion.
- Maintain accurate and organized documentation, including sharepoint and meeting archives.
- Anticipate the needs of the leadership team and help remove administrative roadblocks proactively.
Qualifications
- Associate’s degree and 4 years of administrative experience OR High school diploma / GED and 6 years of administrative experience.
- Excellent communication, organizational, and time management skills.
- Ability to work independently, take initiative, and anticipate needs.
- Highly organized with the ability to prioritize and manage multiple responsibilities.
- Strong interpersonal skills and collaborative can-do mindset.
- Ability to adapt quickly, reprioritize effectively, and remain composure in a fast-paced environment.
- Experience working in a global or matrixed corporate environment.
