About the Role

This position operates under the general direction of the Architecture Department Head and is responsible for the administrative coordination and duties related to the overall operation of the department. Key responsibilities include information management, record-keeping and reporting, procurement of equipment, furniture and supplies, accounts payable, budgetary oversight, faculty and student recruitment, oversight of department resources, work direction to student assistants, and coordination of special events and projects.

In consultation with the Department Head and faculty, this position manages the full scope of project activities, including initiation, execution, coordination, implementation, and evaluation.

About the Department

The Architecture Department (ARCH) is one of five academic departments in Cal Poly’s College of Architecture and Environmental Design (CAED), which serves approximately 2,000 students and 145 faculty and staff. ARCH enrolls around 800 undergraduate majors and offers a Bachelor of Architecture, a minor in Architecture, and stewards the interdisciplinary minor in Sustainable Environments. The department supports numerous off-campus programs, student clubs, and co-curricular activities and is comprised of a department head, an associate department head, approximately 50 faculty, administrative support staff, and student assistants.

Responsibilities

  • Administrative coordination of department operations, including information management, record-keeping, and reporting.
  • Procurement of equipment, furniture, and supplies.
  • Management of accounts payable and budgetary oversight.
  • Support for faculty and student recruitment efforts.
  • Oversight of department resources and direction of student assistants.
  • Coordination of special events and projects.
  • Project management from initiation to evaluation in consultation with the Department Head and faculty.

Requirements

  • Demonstrated customer service experience requiring a high level of diplomacy and professionalism.
  • Ability to handle sensitive interpersonal situations with tact and to resolve conflicts effectively.
  • Strong communication skills, both verbal and written, with the ability to convey information clearly.
  • Ability to troubleshoot office administration problems and respond to inquiries related to the work area.
  • High school diploma or equivalent.
  • Typing speed of 45 words per minute (wpm).
  • Five years of general office support or technical experience (training at a vocational school or full-time college education may substitute for up to two years of experience).

Pay

Anticipated Hiring Range: $52,404 - $66,456 per year. Classification Range: $52,404 - $76,344 per year. Compensation is determined based on experience, skills, knowledge, abilities, education, licensure, certifications, and organizational needs.
