Administrative & Bookkeeping Coordinator
Integrity Construction Co. Inc. / Rockwell Park Management is seeking an experienced Administrative & Bookkeeping Coordinator to support a busy commercial real estate, property management, and construction-focused operation. This role is ideal for a highly organized, dependable professional with a minimum of 10 years of administrative and bookkeeping experience.
About the Role
This is a fully onsite position in Pittsburgh’s East End, supporting a commercial real estate, property management, and construction-focused operation. The successful candidate will manage office operations, support executives and management, coordinate with tenants and vendors, maintain financial and property records, and ensure day-to-day administrative priorities are completed accurately and on time.
Responsibilities
- Manage day-to-day office administration and help ensure office operations run efficiently.
- Provide executive-assistant-level support to management, including calendar coordination, correspondence, document preparation, follow-up, and task tracking.
- Enter, maintain, and audit accurate data in property management, accounting, and business systems.
- Support bookkeeping and accounts payable functions, including invoice intake, coding support, processing, tracking, vendor documentation, and payment-related administrative follow-up.
- Maintain organized tenant, vendor, leasing, financial, and property records in both digital and physical filing systems.
- Assist with leasing administration, including prospect data entry, lease-related file management, notices, and document tracking.
- Coordinate professional and timely communication with tenants, vendors, contractors, visitors, and internal team members.
- Track work orders, maintenance follow-up, administrative tasks, vendor documentation, and internal deadlines.
- Prepare correspondence, notices, reports, spreadsheets, meeting materials, directories, signage, and other business documents.
- Serve as a runner for property-related tasks, including posting notices, updating directories and signage, delivering documents, and assisting with general onsite property support.
- Assist management with special projects, reporting, and operational initiatives as needed.
- Maintain confidentiality and exercise sound judgment when handling financial, tenant, vendor, and company information.
Requirements
- 10 years of professional experience performing administrative duties and bookkeeping responsibilities.
- Demonstrated office-management experience, including coordinating office processes, records, supplies, workflows, and administrative priorities.
- Prior executive assistant experience supporting owners, executives, senior management, or department leadership.
- Experience supporting accounts payable, invoice processing, bookkeeping, financial recordkeeping, or comparable accounting-administration functions.
- Strong organizational, communication, follow-through, and time-management skills.
- Exceptional attention to detail, accuracy, and ability to manage multiple priorities in a fast-paced environment.
- Advanced working proficiency with Microsoft 365, including Outlook, Excel, Word, and Teams.
- Ability to work independently, anticipate needs, maintain confidentiality, and follow through on assignments with minimal supervision.
- Professional and service-oriented communication skills when interacting with tenants, vendors, contractors, and internal team members.
- Ability to work fully onsite Monday through Friday and complete occasional light onsite support tasks throughout the property.
Preferred Qualifications
- Experience in commercial real estate, property management, construction, facilities management, or a closely related industry.
- Experience supporting a construction company, contractor, developer, owner/operator, or commercial property portfolio.
- Familiarity with AppFolio, QuickBooks, or comparable property management and accounting software.
- Experience with commercial leasing administration, tenant correspondence, vendor coordination, certificates of insurance, work orders, and property files.
- Experience preparing reports, reconciling records, tracking invoices, maintaining budgets or expense documentation, and supporting management reporting.
- Associate’s or bachelor’s degree in business administration, accounting, real estate, or a related field is a plus, but equivalent professional experience will be considered.
Pay
$26–$32 per hour, based on experience and qualifications.
Schedule
Full-time, Monday–Friday.
