Coastal Carolina University is currently accepting applications for a full-time Administrative Assistant for Comm, Media, Culture & History within the College of Humanities and Fine Arts.
About the role
This position provides standard management support services for the Communication, Media and Culture and History departments, serving as the liaison to students, faculty, and external visitors.
Responsibilities
- Plans, coordinates, and performs management support services, including scheduling department meetings, making room reservations, and assisting in planning and organizing program events.
- Manages schedules and calendars for both department chairs; keeps, files, and distributes records and meeting minutes.
- Serves as the first point of contact for external visitors and supports both department chairs in all fiscal matters and procurement.
- Monitors and tracks budgets and spending for the departments; assists in budget planning, provides budget reports, and tracks all spending.
- Prepares purchase requisitions, processes and places orders, and plans the ordering of department supplies from on-campus and commercial entities.
- Coordinates and plans all travel and paperwork for external visitors, including job candidates; schedules flights and hotels, and assists search committees.
- Monitors and routes all travel authorizations for faculty and staff in the two departments.
- Assists department chairs in personnel actions, including searches, hiring paperwork, dual employment, and separations; prepares and tracks HR-related paperwork.
- Coordinates and plans all student worker hiring for the departments; sets budgets, recruits, and manages student worker schedules.
- Monitors faculty and staff student worker supervisors to ensure budgetary compliance and timely approval of hours worked.
Requirements
- A high school diploma and work experience directly related to the area of employment.
- A bachelor’s degree may be substituted for the related work experience.
Preferred Qualifications
- Administrative support experience.
Skills
- Knowledge of office management principles, policies, and practices.
- Ability to communicate effectively in writing and orally.
- Ability to plan, organize work activities, and prioritize tasks according to schedules and goals.
- Ability to deal courteously and effectively with the public.
- Ability to exercise judgment and discretion in interpreting and applying policies and procedures.
- Excellent computer skills and proficiency in office software.
Pay
SC State Pay Band Gen06. Salary range: $37,200.00 (minimum) – $48,300.00 (midpoint).
Schedule
- Full-time, 12-month position with benefits.
- Normal work hours: Monday through Thursday, 8:00 a.m. to 5:00 p.m. and Friday, 8:00 a.m. to 12:30 p.m.
- Must be flexible to meet the special scheduling needs of the university.
