About the role

The Administrative Assistant supports the K-12 Director of Curriculum and Instruction, Curriculum and Instruction staff, and K-12 principals. They communicate the requirements and needs of the district to the Director, prepare reports and records, and manage various administrative tasks.

Responsibilities

  • Communicates the requirements and needs of the district to the K-12 Director of Curriculum and Instruction
  • Maintains confidentiality of reports, evaluations, and other information
  • Assists with the coordination of textbook and digital content adoption process
  • Processes incoming and outgoing mail
  • Places and receives telephone calls, records messages, and informs the Director of Curriculum and Instruction
  • Makes travel arrangements for the K-12 Director of Curriculum and Instruction and others
  • Supports the back-office process for the implementation of Read to Achieve Summer Camp
  • Assists with the coordination of training sessions
  • Assists with the maintenance of supplies, materials, and equipment
  • Utilizes current technology to complete tasks
  • Prepares correspondence and reports as instructed
  • Assumes weekly and monthly "Weekly Memo" duties
  • Operates a variety of equipment, including computers/laptops, copiers
  • Operates a motor vehicle
  • Responds appropriately to inquiries or complaints
  • Writes using prescribed formats and conforms to all rules of punctuation, grammar, diction, and style
  • Interprets and carries out oral and/or written instructions
  • Demonstrates continued professional curiosity and growth
  • Communicates effectively and efficiently in a variety of settings, using appropriate terminology and etiquette by telephone and email
  • Performs basic math functions to understand and interpret data, to balance budgets
  • Prepares, reads, and comprehends a variety of job-related forms, reports, spreadsheets, maps, plans, records, documentation, and correspondence

Qualifications

  • Associate's Degree
  • Experience in fiscal budget management
  • Experience in using Google and Microsoft programs
  • Experience using Google Docs and Spreadsheets
  • Ability to effectively express ideas orally and in writing with professionalism
