About the role

The Administrative Assistant supports the K-12 Director of Curriculum and Instruction, Curriculum and Instruction staff, and K-12 principals. They also communicate the requirements and needs of the district to the K-12 Director of Curriculum and Instruction.

Responsibilities

  • Prepares all required reports and maintains appropriate records for programs for fiscal monitoring and/or audits
  • Maintains confidentiality of reports, evaluations, and other information
  • Prepares and maintains purchase orders, professional leave forms, contracts, and travel reimbursements
  • Performs bookkeeping tasks associated with the Department of Curriculum and Instruction, including preparing and maintaining purchase orders, professional leave forms, contracts, and travel reimbursements
  • Disseminates pertinent information regarding funding availability as appropriate to meet programs' needs
  • Makes travel arrangements for the K-12 Director of Curriculum and Instruction, curriculum specialists, and others as needed
  • Makes necessary arrangements for meetings, including date, location, and time, contacting those who need to attend, and seeing that all materials are prepared on matters to be discussed
  • Coordinates training, including date, location, and time, contacting those who need to attend, and ensuring that all training materials are provided
  • Aids with the coordination of textbook and digital content adoption process
  • Maintains regular filing systems
  • Processes all incoming and outgoing mail
  • Plays a role in the weekly and monthly "Weekly Memo"
  • Acts as a liaison between the Director of Curriculum and Instruction and the school administrative staff
  • Serves as a support for the back-office process for the implementation of Read to Achieve Summer Camp
  • Operates a variety of equipment, including computers/laptops, copiers
  • Operates a motor vehicle
  • Listens and communicates effectively in order to gather, convey or exchange information
  • Responds appropriately to inquiries or complaints
  • Writes using prescribed formats and conforms to all rules of punctuation, grammar, diction, and style
  • Interprets and carries out oral and/or written instructions
  • Demonstrates continued professional curiosity and growth
  • Communicates effectively and efficiently in a variety of settings, using appropriate terminology and etiquette by telephone and email
  • Performs basic math functions to understand and interpret data, to balance budgets
  • Prepares, reads, and comprehends a variety of job-related forms, reports, spreadsheets, maps, plans, records, documentation, and correspondence
  • Deals with people beyond giving and receiving instructions

Qualifications

  • Associate's Degree
  • Experience in Fiscal Budget Management
  • Experience in using Google and Microsoft programs
  • Experience using Google Docs and Spreadsheets
  • Ability to effectively express ideas orally and in writing with professionalism
