Administration Assistant (for the Director of Instruction)

Administrative Assistant supporting the Director of Instruction in curriculum, assessment, literacy, instructional coaching, federal and state programs, School LAND Trust, and related areas.

Responsibilities

  • Provide administrative and operational support to the Director of Instruction.
  • Coordinate communication, documentation, timelines, and follow-up with schools, teachers, instructional coaches, district staff, state agencies, and vendors.
  • Support district and state assessment processes, including maintaining assessment access and inventories, coordinating testing timelines, verifying UTREx data, and assisting with required reporting.
  • Coordinate with assessment vendors to ensure schools are properly set up and have appropriate platform access.
  • Attend state assessment, curriculum, literacy, and other assigned meetings and trainings to stay current on requirements, timelines, and procedural changes and support district compliance.
  • Assist with instructional budgets and funding allocations, including purchases, credit card documentation, budget codes, expenditures, grants, and related financial records.
  • Support Title I, School LAND Trust, and other assigned programs by tracking deadlines, maintaining documentation, communicating requirements, and assisting schools with established processes.
  • Edit, format, organize, update, and maintain policies, procedures, guides, forms, webpages, reports, and other materials developed under the Director's direction.
  • Maintain calendars, records, files, checklists, and tracking systems to support department operations and ensure required tasks and deadlines are completed.
  • Provide professional, responsive support to schools and staff, referring matters requiring administrative interpretation or decision-making to the Director.
  • Attend required meetings, training sessions, and professional development opportunities as assigned. Occasional travel may be necessary.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent required; additional education or training in business, education, office administration, or a related field preferred.
  • Previous administrative or professional office experience required; school district or educational experience preferred.
  • Experience with budgets, purchasing, grants, student information, assessment, or reporting systems preferred.
  • Proficiency with Google Workspace and Microsoft Office applications.
  • Ability to learn and effectively use district and state information, assessment, financial, grant, and reporting systems.

  • Strong technology skills and ability to learn multiple software platforms and information systems.

Pay

As per District Clerical Salary Schedule.
