Responsibilities
- Greet and assist visitors, customers, vendors, and employees
- Answer and direct incoming phone calls
- Manage incoming and outgoing mail, packages, and deliveries
- Maintain a clean and professional front office area
- Aid with filing, data entry, scanning, and document management
- Support various administrative projects as assigned
- Create and process purchase orders
- Absorb and communicate with vendors regarding orders, deliveries, and pricing
- Maintain purchasing records and documentation
- Track orders and follow up on outstanding deliveries
- Absorb and manage inventory-related paperwork and reporting
- Generate and distribute customer invoices
- Process incoming payments and maintain customer account records
- Absorb and resolve past due accounts
- Reconcile customer accounts and resolve discrepancies
- Maintain accurate financial records and documentation
- Support accounting functions as needed
Qualifications
- Previous administrative, office, accounting, purchasing, or customer service experience preferred
- Strong communication and interpersonal skills
- Excellent organizational and time management abilities
- Attention to detail and accuracy
- Ability to handle confidential information professionally
- Proficiency in Microsoft Office, including Outlook, Excel, and Word
- Ability to prioritize multiple tasks in a fast-paced environment
Schedule
Monday through Friday 7:45 AM – 4:15 PM
Pay
Starting pay is $17.00–$19.00 per hour, with the potential for a higher starting rate based on relevant experience, skills, and qualifications.
